The Opportunity
The Executive Assistant will be a vital partner to our CEO, providing high-level administrative, strategic, and operational support. This is a fantastic opportunity for a proactive, highly organized, and detail-oriented individual to contribute to a dynamic, fast-paced environment while making a genuine impact in the digital health sector.
Requirements
- Calendar and Schedule Management: Proactively manage the CEO's complex calendar, ensuring priorities are reflected. Schedule appointments, meetings, conferences, and travel arrangements. Prepare and coordinate all meeting material and agendas.
- Communication Gatekeeper Screen and manage a high volume of incoming information, requests, and correspondence (phone calls, emails, etc.). Communicate with internal and external stakeholders on behalf of the CEO, drafting responses as needed.
- Project Support: Assist the CEO in tracking progress on important projects, initiatives, and deadlines. Gather and prepare data, reports, and presentations to support decision-making.
- Travel Coordination: Manage all aspects of domestic and international travel arrangements (flights, accommodation, ground transportation, visa processing) proactively anticipating any potential issues.
- Event Planning: Organize internal and external events, including board meetings, conferences, off-site gatherings, and industry events.
- Relationship Management: Build and maintain positive working relationships with the executive team, board members, investors, partners, and other key stakeholders.
- Personal Support: Manage aspects of the CEO's personal calendar and errands, as needed, to maximize their efficiency both at work and in their personal life.
Bachelor's degree preferred or equivalent experience. - 3+ years of proven experience supporting C-level executives, ideally in a fast-paced technology or healthcare environment.
- Impeccable organizational skills with a demonstrated ability to manage multiple tasks simultaneously and meet tight deadlines.
- Unwavering attention to detail and accuracy.
- Excellent written and verbal communication skills, with a professional, polished demeanor
- Tech-savvy and proficient in Google and Microsoft Office Suite, Quickbooks, productivity software, and travel booking platforms.
- Ability to exercise sound judgment, discretion, and confidentiality at all times.
- A proactive, self-starter attitude with a willingness to take on additional responsibilities as needed.
