Full Job Description

The Purchasing Coordinator is accountable for offering administrative assistance to Supply Management and other departments as required, while also carrying out limited Buying tasks under general supervision. Administrative support responsibilities encompass general clerical work as well as project-based assignments. As a Buyer, the individual will be responsible for procuring standardized materials, equipment, and services for the power industry. This role involves issuing Requests for Quotation, evaluating Supplier bids, negotiating final price and Terms & Conditions, and issuing Purchase Orders to Suppliers.

Requirements

Team Support

  • Prepare and/or generate routine correspondence, emails, letters, memoranda, forms, reports, and other documents.
  • Prepare business correspondence, spreadsheets and PowerPoint presentations and organize and maintain applicable databases as required to support business activities. 
  • Prepare and maintain records, logs, and filing systems pertaining to area(s) of responsibility.
  • Perform general clerical duties to include but not limited to printing, mailing, filing, memoranda, reports, and other related materials.
  • Attend department meetings.
  • Take meeting notes and prepare action items for meetings as required.  Distribute meeting minutes inclusive of action item lists to facilitate follow-up on all action items and due dates.
  • Update and send out weekly Flash Reports.
  • Complete monthly KPI reporting.
  • Maintain CSL documents such as insurance certificates, confidentiality agreements, etc.
  • Assist with supplier qualification efforts by gathering documents and uploading in CSL.
  • Assist with new employee orientation and on-boarding.
  • Provide general support to multiple departments including supporting managers on the preparation of documents, scheduling meetings, filing, and mailing documents as needed.
  • Provide backup coverage for other positions and help as needed.

Purchasing Coordinator

  • Provide support as needed by interfacing with the Project Buyer, Engineering, and the Project Team to develop and issue Requests for Quotation. 
  • Provide support as needed by reviewing and evaluating Supplier bids, negotiating final price and Terms & Conditions including appropriate "flow down" of Customer terms. 
  • In conjunction with the Project Buyer and Project Team, select Supplier and issue Purchase Order in conformance with department procedures including the Bid Tab process per the approved requisition.
  • Evaluate and manage Supplier performance. 
  • Identify potentially new, qualified, and competitive suppliers. Complete the qualification process with the support of other departments.
  • Responsible for timely processing of Supplier non-conformances including the resolution of back charges, schedule, and warranty issues.
  • Prepare and maintain records, logs, and filing systems pertaining to area(s) of responsibility.

Position Qualifications

  • Associate Degree preferred, High School Diploma or GED
  • 2+ years of related work experience
  • Construction Experience Preferred
  • Proficient in Microsoft Office Products -Word, Excel, and PowerPoint. Cost Point preferred but not required.
  • Duties require professional verbal and written communication skills.
  • Uses knowledge of various software programs to operate a computer in an effective and efficient manner.
