ThermalTran Mechanical, Inc is seeking a friendly and organized Administrative Assistant/Receptionist to join our team. As an Administrative Assistant/Receptionist, you will be the first point of contact for our company and will provide administrative support to ensure the smooth functioning of our office.
Responsibilities:
- Answer and direct phone calls in a professional and courteous manner
- Manage emails, letters, packages, and other forms of correspondence in a timely manner
- Schedule appointments and dispatching of service personnel
- Take detailed messages and ensure they are delivered promptly to the appropriate person
- Conduct clerical tasks such as filing, photocopying, and organizing documents
- Assist with organizing company events and meetings
- Maintain office supplies and organization
- Assist with basic bookkeeping tasks such as data entry and invoice processing
- Perform other administrative duties as assigned
- Welcome visitors and direct them appropriately
- Maintaining the cleanliness of the office environment
- Payment collections, account follow-up, reconciliation of outstanding accounts, and producing statements
This position has the potential to be full-time or part-time for the right candidate
Requirements
Requirements:
- Proven experience as an Administrative Assistant/Receptionist or in a similar customer-facing role
- Comfortable with Microsoft Office Suite (Word, Excel) and Google Workspace (Gmail, Google Drive, etc)
- Excellent verbal and written communication skills
- Exceptional organizational skills and attention to detail
- Ability to handle multiple tasks and prioritize effectively
- Strong interpersonal skills and ability to work as part of a team
- Professional and friendly demeanor
- Ability to maintain confidentiality and handle sensitive information
- Prior experience in a mechanical or construction-related industry is a plus
