Operations Coordinator

We pride ourselves on fostering a collaborative and supportive work environment. We are seeking a highly organized and personable Operations Coordinator with HR support and light bookkeeping responsibilities to join our team.

Position Summary: The Operations Coordinator will play a pivotal role in ensuring the smooth operation of our office, supporting HR functions, and managing basic bookkeeping tasks. The ideal candidate will have at least 5 years of experience, excellent organizational and interpersonal skills, and a high level of confidence working with Excel or Google Sheets and QuickBooks Online. 

This position is an in-office position by the nature of the responsibilities.

Salary range: $65 - $80K

Requirements

Office Management:

  • Oversee day-to-day office operations to ensure efficiency and organization.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate office events and meetings and travel for team, including scheduling and logistics.
  • Serve as the primary point of contact for office-related inquiries.
  • Tracking of tools, usage, assigning licenses, troubleshooting

HR Support:

  • Assist with recruitment processes, including posting job openings, scheduling interviews, screening candidates, and onboarding new hires and equipment.
  • Maintain employee records and ensure compliance with HR policies and procedures.
  • Support employee engagement initiatives and address general HR-related inquiries.
  • Coordinate payroll and benefits administration with external providers as needed.

Bookkeeping:

  • Manage client invoicing and track accounts receivable.
  • Reconcile expenses and monitor cash flow.
  • Assist in preparing financial reports and maintaining accurate records in QuickBooks Online.

Qualifications:

  • Minimum of 5 years of experience in office management, HR support, and bookkeeping roles.
  • Proficiency in Excel or Google Sheets and QuickBooks Online.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to handle confidential information with discretion.
  • Self-motivated and able to work independently with minimal supervision.
  • Engaged by working on multiple different types of work and projects
