The Office Coordinator is responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency. Performs all front office activities, including reception, mail, deliveries and facilities. Assists with internal office moves and provides arrangements for office meetings.
The Office Coordinator role is based in our Brooklyn, NY office. We will be relocating to Manhattan in early August.
Responsibilities:
- Oversee general office administration
- Act as company concierge to employees that may need help with travel, supplies, meetings, etc.
- Primary point of contact for clients and guests visiting and calling the office.
- Open and close the office each day.
- Answer phones; transfer and assist with conference calls; handle queries from the public/clients.
- Order kitchen and office supplies, maintaining a strong relationship with all building vendors.
- Stock and organize kitchens and common areas.
- May also participate in client services as needed.
- Code invoices and ensure they are delivered to Accounting in a timely manner.
- Assist NY employees with projects on as-needed basis.
- Work with Office Director to coordinate company events.
- Ensures Office Director is well-informed of all office-related matters.
Requirements
- College Degree preferred and 1-2 years of related experience.
- Commitment to exceeding expectations of clients, visitors and fellow employees.
- Approach all interactions with a welcoming and customer service attitude.
- Must be reliable, punctual, with a strong attention to detail and highly organized.
- Working knowledge of Microsoft Office.
- Knowledge of administrative and clerical procedures.
- Excellent in-person, phone and electronic communication skills.
- Ability to work independently and multi-task in a fast-paced environment.
- Service industry experience preferred.
- Ability to practice discretion.
