Job Summary:
The Program Analyst performs a variety of administrative and quality assurance tasks. Duties include providing administrative support to the VP of Justice Initiatives and SHERO team and overseeing the program’s data collection and reporting.
Responsibilities:
• Writes and distributes emails, correspondence memos, letters, forms, etc.
• Plans, organizes and schedules program meetings.
• Takes detailed meeting notes and files accordingly.
• Prepares and distributes regularly scheduled internal and external reports.
• Organizes and maintains program’s online case management, data collection, and case filing systems.
• Trains and onboards all new staff and partners on all data systems.
• Follows up with and tracks all partners data collection activities, communicating with supervisors
when items are overdue or missing.
• Assists in writing up and organizing SHERO policies and procedures.
• Completes all program/office supply orders.
• Coordinates with outside systems (IT, telephone, Internet and other providers) to ensure prompt
resolution of issues and continuous quality service.
• Maintains confidentiality of all program information.
Requirements
Qualifications:
• Proven experience in assisting in both administrative/office tasks and in data collection.
• Extensive knowledge of office management systems and procedures.
• Working knowledge of office equipment (printers, computers, telephone systems).
• Proficiency in MS Office (MS Excel and MS PowerPoint); experience with one or all of the following
highly desired: Dropbox, Salesforce, Form Assembly, Foothold AWARDS.
• Excellent written and verbal communication skills.
• Good time management skills, strong organizational skills, and the ability to prioritize work.
• Attention to detail and problem solving skills.
• Good interpersonal skills and ability to work on a team.
Education and Professional Experience:
• Bachelor’s Degree
• 3 years demonstrated experience in an administrative position in nonprofit setting
