Our organization is a leading company in the electrical contracting industry. We specialize in providing comprehensive electrical solutions to residential, commercial, and industrial clients. We are currently seeking a highly organized and professional Front Office Manager to join our team.
The Front Office Manager will be responsible for managing the day-to-day operations of our front office area. This includes overseeing reception duties, handling phone calls, managing mail and packages, and ensuring that the front office runs smoothly. The ideal candidate will have excellent communication and organizational skills, as well as a strong attention to detail. This is a fast-moving and busy environment, and we strive for candidates who are familiar with this type of business office.
Responsibilities
- Manage the reception area and ensure that it is tidy and presentable at all times
- Answer and route phone calls, take messages, and respond to inquiries
- Greet and assist visitors in a professional and courteous manner
- Manage Health, and business insurance including completing all necessary documentation and communicating with providers
- Coordinate and schedule appointments and meetings with clients and principals
- Assist with administrative tasks such as filing, data entry, and maintaining office supplies
- Completing tasks and requests of principals associated with ongoing jobs, registrations, permits and incoming mail requirements
- Support scheduling of jobs
- Handle customer inquiries and complaints with efficiency and professionalism
- Maintain records and files effectively and accurately
- Actively organize files, data and keep track of ongoing necessary documentation requirements
Requirements
- High school diploma or equivalent; additional certification or degree in office administration is a plus
- Proven experience as a Front Office Manager, Office Administrator, or similar role
- Familiarity with payroll via ADP, T-sheets, Quickbooks
- Proficient in using Microsoft Office Suite and other office equipment, fluent in Excel
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Detail-oriented with the ability to maintain accuracy and confidentiality
- Ability to work well under pressure and handle multiple tasks simultaneously
- Ability to supervise others as needed
- Professional appearance and demeanor
- Experience in the electrical contracting industry or construction field is a plus
