ROLE SUMMARY:
The Administrative Assistant is responsible for providing direct support for both the Human Resources (HR) and Administrative Services Departments. This role will gain exposure to recruitment, onboarding, investigative processes, internal reviews, record retention, safety, and benefits. With support from the HR and Administrative leadership, the Administrative Assistant will drive consistencies by creating communication plans in line with agency values.
ROLE RESPONSIBILITIES:
- Acts as the administrative point person for HR department.
- Maintains records and file management procedures for HR to ensure compliance with regulations related to storage, retention, and destruction.
- Monitors completion of in-program orientations.
- Supports Talent Acquisition team with scheduling interviews, monitoring background checks and onboarding.
- Collects and delivers required documentation to support internal and external audits.
- Assists with incoming calls.
- Sits in on meetings and ensures accurate minute meetings are taken and distributed to all attendees.
- Provides clerical support to various programs.
- Handles general office tasks, such as filing, generating reports and presentations, setting up meetings, and reordering supplies.
- Writes and edits communications, from letters to reports and instructional documents.
JOB TYPE: Full-time
SHIFT: Monday – Friday (Day Hours)
HOURLY RATE: $19.50 - $22.00 (Non-Exempt)
This position is benefit eligible and has generous time off.
Requirements
ROLE REQUIREMENTS:
- Associate’s degree
- 1 year office or internship experience
- Strong knowledge of Microsoft Office applications
- Strong time management skills and ability to multitask
- Must be able to display a high level of discretion and understand the sensitive nature of confidential employee information with superior emotional intelligence.
*All hires must possess a valid NYS Driver’s License at the time of hire.
