Taylor Management is seeking a skilled and friendly Receptionist to join our team. As a leading property management company, we specialize in providing exceptional services to condominium and homeowner associations. As the first point of contact for our company, the Receptionist will play a crucial role in ensuring a positive experience for our clients, residents, and visitors.

The responsibilities of the Receptionist will include answering and directing incoming phone calls, greeting and assisting visitors, managing mail and packages, scheduling appointments and meetings, and maintaining office supplies. The successful candidate will have excellent communication skills, both written and verbal, and the ability to multitask and prioritize tasks effectively.

Daily Job Duties:

 

Check voicemail daily.


Greet telephone callers, find out the nature of their call and transfer calls to the appropriate individuals.  

Take telephone message and the nature of the message for entire staff and Board of Trustees.

Greet visitors, answer questions, and direct them to the appropriate   individuals.

Excel, Word, letters, work orders, and memos.

Receive and distribute incoming mail and organize outgoing.

Organize and maintain office files and records.

Send and receive faxes, file, and photo copy documents.

 

Arrange appointments for callers and keep records of them.

 

Make photo ID cards for Homeowners.

 

Collect money for front gatehouse remotes (make copy of check and put it in homeowners file)

 

Collect money for pool badges.

 

Collect money for Social Activities and keep record.

 

Make copies of Board of Trustees mail, memos, and faxes and put in the Board mailbox.

 

Keep log for office supplies.

 

Check fax & photo paper daily.

 

Requirements

  • High school diploma or equivalent
  • Proven experience as a Receptionist or similar role
  • Excellent communication skills, both written and verbal
  • Strong organizational and multitasking abilities
  • Proficient in Microsoft Office Suite
  • Professional and friendly demeanor
  • Attention to detail and accuracy
  • Prior experience in property management is a plus
