This firm is seeking a professional, full-time Receptionist & Office Coordinator who thrives in a dynamic environment and values providing outstanding service to clients. The selected candidate will play a crucial role in creating a welcoming and professional atmosphere as the first point of contact for clients.
Position Summary:
The Receptionist & Office Coordinator will be responsible for managing front office operations, ensuring clients have a positive experience, and supporting administrative and marketing activities. This role is pivotal in maintaining an organized, efficient, and client-focused environment.
Key Responsibilities:
- Serve as the first point of contact by answering and directing multiple phone lines and warmly greeting clients.
- Maintain a professional and welcoming environment, offering refreshments and ensuring client comfort.
- Manage appointment scheduling, confirmations, and updates.
- Perform data entry with accuracy and efficiency.
- Sort and distribute mail and handle general filing duties.
- Order and organize office supplies to ensure smooth daily operations.
- Support marketing efforts, including:
- Preparing workshop materials and client folders.
- Assembling new client binders and welcome kits.
- Participating in occasional after-hours events as requested.
- Perform miscellaneous administrative tasks as assigned by the leadership team.
Required Skills and Qualifications:
- High school diploma or equivalent.
- Experience in administration and data entry.
- Strong interpersonal and customer service skills; energetic, personable, and professional.
- Excellent phone etiquette and verbal communication skills.
- Genuine interest in serving and supporting others.
- Highly organized with attention to detail and the ability to multitask effectively.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Professional presentation and demeanor.
- Ability to manage office technology, including sending/receiving emails and faxes.
