Pay Rate: $19.00-$23.00

RADIAS Health is hiring an Administrative Specialist to provide administrative support to staff and clients on our Housing Support Program. This team provides mental health and housing support services to clients in Hennepin County who experience mental illness and/or substance use disorders.

The Administrative Specialist is an integral part of the team and is responsible for the overall organization and management of the office and administrative activities such as: paying client rent and utility bills, maintaining files, documentation of records and electronic record keeping systems, scanning, insurance tracking, ordering office supplies, generating reports, processing incoming and outgoing mail, and managing program bank accounts and financial information. This position works with a diverse group of external and internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload.

Hours: 30 hours per week (eligible for full benefits!). Schedule is flexible

Location: 5812 Lyndale Ave South, Minneapolis, MN 55419 AND one day per week at 166 4th Street East, Suite 200, St. Paul, MN

Duties and Responsibilities

  • Responsible for general organization and support for the HSP program; maintaining client files and electronic health record, running reports, forms, tracking and entering authorizations and insurance information, technology equipment, client information, intake records and other files as needed
  • Maintains client records in RADIAS Health's Electronic Health Record (EHR).  This can include tasks such as: opening/closing clients, updating insurance, tracking and updating data, updating demographics, etc. updating treatment plan end dates, and demographic information.
  • Monitor, track and report clinical paperwork completion, staff note completion, electronic note entry errors.
  • Track client insurance and program eligibility (using MNITS) and authorizations
  • Maintain compliance with applicable Minnesota Statutes or rules, including but not limited to DHS Maltreatment of Vulnerable Adults, Duty to Warn, Minnesota Data Practices Act, and HIPAA.
  • Communicate effectively and professionally with county financial workers, DHS, and others in the community.
  • Responsible for program bank accounts; deposits, transfers, balancing accounts, petty cash & associated reports.
  • Responsible for program Accounts Receivable; processing deposits in RPM, collections from responsible sources, including clients.
  • Responsible for program Accounts Payable; Print checks for client rent and utilities, personal needs, vendor payments, paying bills, entering receipts, and coding checks for Quick Books.
  • Process XEFTs, generate export, call bank with export information.
  • Housing Support clients living in community - manage all client accounts, accurately track client obligation and rent amounts, utility and phone bills, track benefit renewal dates, aid clients in completing financial forms, assist clients with maintaining their eligibility for cash, food and medical benefits; submit documentation to the County in a timely manner.
  • Update information in Homeless Management Information Systems (HMIS).
  • Create and maintain program reports as required by Program Director.
  • Order and obtain office supplies.
  • Processes incoming and outgoing mail.
  • Administer HS Programming which includes: communication and maintaining relationships with landlords, entering of receipts and utility bills, and maintain client records in RPM and Credible.
  • Assist clients in completing financial forms, assist clients with maintaining their eligibility for cash, food and medical benefits; submit documentation to the County in a timely manner.
  • Answer telephone and attend to client and staff issues in a timely and courteous manner.

Requirements

  • High school diploma or equivalent
  • Knowledge of office management with good clerical and organizational skills.
  • Familiar with Microsoft Windows and Office programs.
  • Excellent attention to detail and organizational skills.
  • Administrative experience and financial record keeping preferred
