Executive Summary:  Engineering Coordinator

To support our growth as a leading IoT Solutions Accelerator, Mesh Systems, seeks a highly organized and proactive Engineering Coordinator to play a pivotal role in our engineering operations. In this essential position, you will be at the heart of our engineering processes, ensuring seamless project execution, and resource management. Your multifaceted role involves collaborating closely with senior management and technical teams, overseeing financial and resource planning while also spearheading initiatives that maintain crucial partnerships, and foster a culture of innovation and professional development. This is a hybrid position with work-from-home/in-office work based out of our Headquarters in Indianapolis, IN (specifically Carmel), reporting directly to the VP of Engineering.

 

Key Job Responsibilities

Project and Resource Management:

  • Strategize and oversee project work plans and schedules to determine necessary resources for a diverse team of 65+ engineers across the US, Eastern Europe, and India
  • Manage resource requirements and allocations for projects based on Statements of Work (SOWs), ensuring smooth project execution in collaboration with Program Management and Technical Principals
  • Administer a skills matrix system for international staff augmentation scale partners, including managing resource allocation, tracking, and monthly expense forecasting
  • Partner with Commercial and Program Management teams to anticipate and fulfill upcoming project resource needs and support senior leadership in quarterly and annual reviews

Certification and Software License Management:

  • Uphold Microsoft partnership status by diligently tracking and maintaining Azure Certifications within the Engineering team
  • Oversee engineering software licenses in coordination with IT, ensuring compliance and up-to-date access to necessary tools

Process Improvement and Financial Oversight:

  • Lead internal quality improvement initiatives by evaluating and improving current processes, creating, and updating SOPs/Policies/Training Plans, etc
  • Generate detailed monthly reports for accounting to cover product and service allocations, working closely with Operations department to manage expense snapshots
  • Estimate internal Full-Time Equivalent (FTE) costs per project, maintaining leadership trackers and rosters

Team Coordination, Communication, and Development:

  • Facilitate regular sync meetings and conflict resolution within Delivery Leadership teams
  • Manage asset tracking and coordinate logistics between multiple office locations
  • Curate and manage backlogs through Microsoft Azure DevOps (AZDO), and communicate recurring issues faced by the Engineering team
  • Organize and drive team communications, including engineering-led weekly Lunch n' Learns, Show n' Tells, ad hoc team meetings, monthly technical leadership meetings, and offsite technical leadership summits to promote a collaborative and innovative work environment

Talent Acquisition and Professional Growth:

  • Drive the recruitment process by crafting job postings, participating in interview screenings, and communicating with applicants, in collaboration with leadership
  • Onboard and develop team members in line with company values and vision and contribute to orchestrating periodic Engineering surveys

Requirements

  • Bachelor’s Degree in Computer Science, Software Engineering, Computer Engineering, or a related field is preferred, showcasing a strong foundational knowledge in technical areas
  • A minimum of 2-3 years of business experience in project coordination or engineering coordination, reflecting a depth of experience in managing complex projects
  • Exceptional organizational skills with a proven track record of managing and executing tasks on a consistent schedule, whether they are weekly, bi-weekly, or monthly
  • Demonstrated ability to meet tight deadlines and efficiently handle and prioritize multiple simultaneous requests, illustrating a high level of detail orientation and multitasking ability
  • Strong proficiency in project management tools and resource management software such as Azure DevOps, Mosaic, or Monday, with experience in Agile Methodologies considered a significant asset
  • Excellent problem-solving skills, with the capacity to navigate and resolve issues in a dynamic work environment
  • Outstanding interpersonal and communication skills, both oral and written, essential for collaborating effectively with diverse teams
  • Advanced competency in Microsoft Office applications, particularly Excel and Word, to manage, analyze, and report on data and processes
  • A coachable individual with a growth mindset, ready to learn and adapt in a fast-paced and evolving technological landscape
  • A sense of ownership and pride in your performance, understanding its direct impact on the success of the company

Other Requirements

  • Ad hoc travel as necessary to support engineering operations and partner management (some travel could be outside the US)
