Full Job Description
The Alinea Group is looking for a Bilingual Human Resources Coordinator to join the team in Chicago. This person must be committed to accuracy, present their work and themselves in a professional manner, exhibit outstanding communication, focus and strong data organization skills. The most successful candidates will have a proven track record of problem-solving, enjoy a challenge, and be self-motivated. This role reports to the Human Resources Director and is responsible for supporting the HR team.
Daily Responsibilities:
- Administration
- Assist operations with tracking of call offs, leaves, pto, etc
- Responsible for employee onboarding compliance including I9s, vaccinations and certifications.
- Ensure proper maintenance of employment files and other records personally in a detailed manner in the HRIS computer system.
- Responsible for onboarding of business team members including ordering business cards
- Responsible for maintenance of employees systems access including emails, email groups, slack, etc.
- Responsible for the maintenance of staff lockers
- Performs administrative skills such as typing, filing, copying and answering telephones and emails according to our company standards and in a in a timely manner
- Distribute daily incoming and outgoing mail
- Run daily, weekly and monthly reports from the HRIS system
- Send out monthly reviews through Paylocity/HRIS system
- Performing monthly, bi-monthly, and quarterly compliance audits
- Payroll + Benefits
- Responsible for the benefits administration including leaves, 401k, workers compensation, unemployment, and responsible to employee inquiries
- Responsible to organizing and distributing payroll and accounting checks to employees onsite
- Responsible for responding to W2 requests, wage garnishments and employment verifications
- Recruiting
- Assist recruiters with screenings, reference checks, scheduling interviews and job fairs.
- Pull targeted ads and reach out to job fair candidates
- Attend job fairs with recruiters, as needed
- Employee Engagement
- Responsible for employee recognition including milestones, anniversary gifts, etc.
- Responsible for hosting new hire orientation, in-person and virtually on a monthly basis
- Maintain and update all employee communications systems such as newsletter, bulletin boards, etc.
- Creating employee engagement plans, getting necessary budget approval and initiating activities
- Other
- Uses good judgment and maintain a high level of confidentiality and sensitivity
- All other responsibilities assigned by the Human Resources Director
- Engage in team meetings and projects
- Engage in strategic HR projects and meeting with stakeholders
- Learn from mentors at peer and leadership level
- Onsite 5 days per week (Flexible schedule)
- 40-50 hours per week
Requirements
- Excellent verbal and written communication skills
- Excellent interpersonal and conflict resolution skills
- Strong organizational skills
- Proven track record of able to keep deadlines
- Proficient with Google Sheets and Google products or similar software (Microsoft)
- One (1) or more years experience in related human resources positions
- Knowledge of employment-related laws and regulations
- Ability to manage and utilize HRIS systems
- Bilingual - Spanish
Desirable:
- Bachelor’s Degree or higher in Human Resources or Hospitality
- Two years of experience in the hospitality industry
- HR Certification- PHR, SPHR
