Full Job Description
Under the supervision of the Idaho College of Osteopathic Medicine (ICOM) Registrar, the Registration and Records Coordinator will serve as the primary contact for prospective, current and former students to ICOM. The coordinator will support the Registrar in processing and delivering information to students, faculty, administration, and external partners for educational and career development purposes.
Functions and Duties:
- Assist in maintaining all official student documentation via computer, up to and including transcripts and test scores.
- Assist in collecting documents and student records required for accreditation.
- Verify enrollment of students for scholarships, insurance agencies, and other constituencies in line with confidentiality guidelines.
- Create rosters, collect grades from faculty, and produce transcripts.
- Maintain a customized database of student information, create reports and export data for official reports.
- Obtain and maintain literacy in the registration and records student service areas. ▪ Become familiar with and adhere to College policies and FERPA guidelines. ▪ Assist in planning and participate in graduation and White Coat ceremonies.
- Assist with AACOMAS, SIS and Admissions to ensure proper counts on incoming cohorts making adjustments as necessary to stay in balance.
- Assist with the Registrar Website and forms; processing student requests as needed.
- Assist with New Student Orientation presentations including FERPA, access to SIS, Registrar Website and other topics as needed.
- Assist other student service areas such as admissions and financial aid.
- Disseminate enrollment and registration information to students and respond to inquiries by telephone and email.
- Maintain current knowledge and learn new state and federal laws, rules, and regulations pertaining to registration and records management
- Attend seminars, conferences, workshops, and other training sessions; participate in the development of new/revised procedures to accommodate changes that will positively impact efficiency and quality of services provided; assist with presentations, workshops, and orientations to inform prospective and current students of financial aid program requirements and deadlines, as well as financial literacy and debt management information.
- Assist with Student Services related activities and campus wide events.
- Refer students needing assistance in other areas to the appropriate parties.
- Perform other related duties, as assigned.

Requirements
- Bachelor’s degree in a relevant field
- Previous experience in registration and records within an educational institution.
