Key Responsibilities:
• Greet clients and visitors warmly, ensuring a positive first impression of the firm
• Manage all incoming calls and inquiries, and documenting notes from every client conversation in our database
• Maintain an organized, compliant and efficient e-filing system
• Schedule and coordinate client meetings, both in-person and virtual
• Coordinate all incoming and outgoing physical correspondence, ensuring timely distribution to staff, clients, and vendors
• Provide administrative support to staff, including and not limited to data entry, electronic filing, and document preparation
• Uphold the firm's policies and procedures, ensuring compliance with legal and SEC standards
• Maintain a clean and organized office and meeting space
• Track and order supplies, as needed
• Schedule office maintenance, as needed

Requirements
Qualifications:
• High school diploma or equivalent
• Friendly demeanor and soft interpersonal touch, with the ability to establish a lasting rapport with clients
• Empathy, patience, and adaptability are key in this crucial role
• 2+ years of experience in a front desk or client service role. Big plus if you have experience in a financial or legal environment
• Proficient computer and telephone skills required; experience with client management software preferred
• Excellent verbal and written communication skills
• Strong organizational and multitasking abilities, with a high attention to detail
• Professional demeanor and appearance
• Ability to work independently and as part of a team
• High level of integrity and confidentiality
