Premier Golf is a golf travel company located in downtown Alpharetta, Georgia offering golf vacations & packages to a multitude of destinations both domestically and internationally. Since our inception in 1989 we have sent over 30,000 clients to the Ryder Cup and become a leader in international golf travel. With the recent investment from Your Golf Travel, a UK based company, we are looking to expand our products and events and most importantly our team. We are looking to hire enthusiastic, customer service driven individuals to be a part of this dynamic company.

About the Role

The ideal Operations Admin person should be a mirror image of the Sales Agent in an administrative role. The Operations Admin person must be able to handle all aspects of the clients booking, other than the pricing and selling of the product. This person will work in tandem with the Sales Agent and rely on each other so that the client’s experience is transparent, and the customer is receiving the ultimate customer service experience. The Sales Support person should be fully educated on the product (from hotel offerings, golf course familiarity, caddie costs, buggy availability) to transportation options. The more experience the Operations Admin has on the product the better service this will provide to both the customer and the Sales Agent.

Manage booking

  • Check the Infogolf email box and build Inquiry bookings in reservation system
  • Sales Agent will send a quotation to client and booking will be updated from Inquiry to Quotation.
  • Once client has agreed to purchase the Sales Agent will send email with tour registration/deposit payment link to all golfers/non golfers, and copy you on the email. The booking will be updated from Quotation to Confirmed.
  • As completed Tour Registration Forms are received

1) The client will be added as Participant in reservation system.

2) Send Travel Insurance quotes.

3) Maintain Client Manifest for bookings (Rooming lists, Flight Manifest, Mobile Phone & Email information for each client, dietary requirements)

  • Post and manage all client payments received in the reservation system.
  • Build out booking in reservation system & maintain booking, noting any changes
  • Confirm services with Vendors (per Sales Agent instructions)
  • Notify Accounting when all deposits secured so vendor deposits can be processed. Work with accounting to reconcile bookings and complete Vendor payments.
  • Upon confirmation from Vendor send a confirmed itinerary updating tee times to clients (check with Sales Agent to make sure all is correct)
  • As bookings can be made far in advance, it is common that tee times will not be available that far out. Keep note of when tee times should be confirmed and follow up with Vendor for confirmation and revised pricing sheet
  • Make any changes to booking based on revised pricing (check with sales agent )
  • Request additional items with vendor such as extra nights/ extra rounds of golf once sales agents has verified the needs
  • Check Weekly Booking Status Rep0rt for outstanding payments, final docs and any other action items required
  • Send out final payment invoices (Special Events & Groups 90 day prior to departure date & individuals 60 days prior). Reconcile Work with accounting to complete Vendor payment once bookings are paid in full.
  • Send completed manifest to corresponding Vendor (Transportation Company – Flight Manifest, Hotel – Rooming List, etc.)
  • Create Final Docs for clients and update status of booking to Completed.
  • Arrange requested dinner reservations, caddie requests, or special requests.

Requirements

  • You will be an enthusiastic sales person with excellent admin and customer service skills, ideally in the hospitality or leisure sectors.
  • Our team members are confident in their knowledge of golf, and can express that knowledge well either on the phone or by email
  • Target driven, team oriented and self-motivated - you will enjoy healthy competition and incentives in the workplace to help drive you to exceed targets set
  • Good time management and the ability to work under pressure are prerequisites
  • Able to work from our office in downtown Alpharetta.
