Job Overview  

The construction Accounting Specialist performs accounting (receivables and payables) duties for the organization with attention to detail and consistency in accordance with contracts and company policy. In this role, would be responsible for driving results in a fast-paced environment in the functional areas of accounts receivable, accounts payables, general ledger, and job costing, as well as in other accounting areas in line with our established guidelines. Lastly, the Accounting Specialist may assist with preparation of journal entries, reconciliations, the quarter-end and year-end closing processes, ensuring that all necessary transactions are posted in accordance with Generally Accepted Accounting Principles (GAAP).

Duties and Responsibilities

  • Accounts Receivable
    • Invoicing weekly while understanding and complying with contract terms and conditions requirements
    • Submit in appropriate portal and/or email to customers in a professional and timely manner.
  • Maintain accurate internal tracking spreadsheets in accordance with company practice and direction.
  • Maintain internal job and customer folders with accuracy and completeness per company practice and direction.
  • Record and Issue Notice to Owner (NTO), COI, Liens, etc. per company practice.
  • Reconciling bank statements monthly by the 10th of the following month.
  • Cost accounting for project tracking.
  • Accounts Payable
    • Vendor compliance – including MSA, W9, COI, and ACH records keeping and communication.
    • Subcontractor Lien Waiver processing and management.
    • Enter credit card receipt transactions to appropriate GL account and job
      • Up to 6 credit card types with +/- 75 card holders for all accounts combined.
    • Reconcile vendor statement monthly, communicating with AP Specialist for any discrepancies.
    • Provide CFO, CEO & COO weekly suggested accounts payables for pay weekly for approval.
    • Coordinate with CFO to print checks per approved weekly approval
    • Schedule Credit Card payments and records in accounting software
  • Cost journal entries and Accounting Adj’s, as directed.
  • Collecting information for misc. auditing purposes as directed by CFO or COO.

Requirements

  • 5-7 years of industrial construction accounting experience
  • Perform basic accounting duties in accordance with standard procedures and under moderate supervision
  • Highly proficient in Microsoft Excel and Word, and 10-key calculator by touch
  • Ensures the timely and accurate reporting of all financial information
  • Very organized individual with the ability to multi-task
  • Ability to meet required deadlines under occasional stressful conditions
  • Ability to communicate effectively both written and orally
  • Highly motivated individual that is eager to learn and take on new challenges
  • Self-starter and able to work with minimal supervision - Takes direction well
  • Work cooperatively in a team environment with other staff members
  • Ability to work in multiple types of systems and portals with ease, as well as grasp new portals without delay.

Benefits

The annual base compensation range for this role is between $85,000 and $105,000. The successful candidate's actual base compensation will be based upon a variety of factors, including but not limited to work experience, job-related knowledge, skills, and professional qualifications.
