Full Job Description
As the Receptionist at SAP Truck & Auto Parts USA, you will be the first point of contact for our company. Your role is pivotal in creating a welcoming environment and ensuring smooth communication and operations within the office. You will handle inquiries, provide information to the public, customers, and visitors, and manage various administrative tasks.
Key Responsibilities:
- Prepare coffee for management if not already made.
- Turn on lights in the reception area upon arrival.
- Check general voice messages for the company.
- Greet visitors with a warm smile and a professional demeanor.
- Provide high-quality customer service to all visitors and personnel.
- Offer water or coffee to visitors and guide them to the appropriate person or meeting room.
- Maintain visitor logs and ensure unauthorized personnel do not access restricted areas.
- Answer calls with the greeting: "Good Morning/Afternoon, SAP USA. How can I help you?"
- Manage call transfers, voicemails, and take manual messages when necessary.
- Follow specific protocols for handling important sales-related calls and prospective customers.
- Check and sort the mailbox daily.
- Maintain contact information for key personnel and external partners, ensuring they are readily accessible.
Administrative Support:
- Scan and electronically file documents into NetSuite for the Sales, Purchasing, and Logistics departments.
- Follow specific procedures for naming and saving files in NetSuite.
- Create and update prospect and client profiles in the NetSuite system.
- Ensure proper documentation is obtained and approved for new client setups.
Office Maintenance:
- Report any IT issues to Ciegate Technologies.
- Maintain cleanliness and order in the reception area, conference rooms, kitchen, and executive office.
- Lock supply drawers and turn off lights before departing.
Requirements
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite and familiarity with NetSuite or similar CRM systems.
- Ability to maintain a professional and positive demeanor in a fast-paced environment.
- Prior experience as a receptionist or in a similar administrative role is preferred.
- Bilingual Preferred (English/Spanish)
