Job description
We’re looking for a Senior Customer Operations Specialist to join our team and ensure smooth execution of our end-to-end order fulfillment process for our B2B customers. You get to work in a global environment at the heart of our operations. This position will play a critical role in between Supply Chain, Sales and Finance organizations as you’ll be helping Varjo’s enterprise customers in North America to finalize their purchases and coordinate the shipments. Your work will be conducted at Varjo’s office in the US, in Arlington, VA together with Varjo’s local sales and support teams. On a daily basis you will be collaborating with the rest of the team, which is located in Finland including the hiring manager. This collaboration includes team meetings, information sharing, and support. In addition to the operative work, you will also participate in and initiate development projects to ensure we can provide reliable and transparent services to our customers in the future as well. The company is in a high-growth mode right now, so the pace is fast & exciting, and we are looking for people who are quick learners, like solving problems, and have an entrepreneurial spirit.
What You'll Be Doing
- Purchase Order and Order Fulfillment Management: Oversee and manage purchase orders for customers in North America. Ensure accuracy, review inventory levels, and process orders in a timely manner. Coordinate the execution of orders, including shipping and deliveries, to meet the specific requirements and expectations.
- Customer Support: Act as the main point of contact for customer queries regarding order status, shipping, and invoicing.
- Collaborate Cross-Functionally: Work closely with Sales, Finance, Supply Chain and logistics partners to ensure timely delivery of customer orders and resolve issues as they arise.
- Return Management: Coordinate the return process, including handling returns and coordinating with partners, finance, and technical support.
- Identify process development needs and propose improvements .
Our Expectations
- 5+ years of experience in supply chain operations, order management, or related roles in global logistics.
- Experience working in ERP, specifically with NetSuite, is a plus.
- Proven capability to work independently and as part of a group to accomplish individual and team objectives.
- Ability to absorb and retain information quickly in fast paced environment.
- Exceptional attention to detail and a customer-first mindset.
- Excellent written and spoken English.
- Minimum Bachelor's degree in business, operations, supply chain or equivalent practical experience.
- Ability to travel to company headquarters in Finland once or twice a year.
