At earnoseandthroatct, also known as Westwood Ear, Nose and Throat, we are seeking a dedicated Administrative Assistant/Receptionist to join our dynamic team. This role is vital in ensuring our office runs smoothly as you will be the first point of contact for patients entering our practice. You will have the opportunity to interact with patients daily, providing them with exceptional service and support. The position requires excellent organizational skills as you will be managing scheduling, answering phones, and handling a variety of administrative duties. In addition to greeting patients, you will assist with maintaining patient records, processing insurance information, and coordinating with medical staff to ensure efficient workflows. As an Administrative Assistant/Receptionist, you will play a significant role in fostering a welcoming and professional environment that promotes patient satisfaction and contributes to the overall success of our practice. Responsibilities

  • Greet and welcome patients, providing a friendly and positive experience.
  • Answer phone calls and direct inquiries to appropriate staff members.
  • Schedule appointments and manage the calendar for multiple providers efficiently.
  • Maintain and update patient records, ensuring accuracy and confidentiality.
  • Process incoming and outgoing mail, faxes, and other communications as needed.
  • Assist patients with insurance verification and billing inquiries.
  • Handle administrative tasks such as filing, scanning, and data entry in a timely manner.

Requirements

  • High school diploma or equivalent; additional education or certification in medical administration is a plus.
  • Proven experience as an administrative assistant or receptionist, preferably in a healthcare setting.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and electronic medical record (EMR) systems.
  • Ability to multitask and prioritize work effectively in a fast-paced environment.
  • Strong interpersonal skills and a patient-centric approach to service.
