Full Job Description

The Licensing Coordinator is responsible for performing licensing duties for the Company.  This includes maintaining the accounting system (Deltek), working with state agencies to ensure that our company and professional licensing is current and compliant, and acting as a general resource for licensing & affiliation related questions/issues.  In addition, this person works with our Survey team to oversee the Company’s fleet of vehicles and track all equipment.

 

Essential Duties and Responsibilities

  • Maintains all technical licenses (corporate and personal) and expiration dates in accounting system of record (Deltek).
  • Maintains repository of all licenses and affiliations, by city, state and/or discipline.
  • Promptly supports and advises internal and external customers concerning compliance-related questions and issues, escalating inquiries to internal legal counsel as necessary.
  • Manages external, third-party registered agent, who also handles a limited number of Certificate of Authorization (COA) and Secretary of State (SOS) renewals.
  • Responsible for Galloway’s fleet of vehicles, including tracking of maintenance and recalls, issuing fuel cards, and coordinating repairs.
  • Collect inspections/inventory from Survey team on a quarterly basis and review for deficiencies.
  • Tag and update tracking system when Survey equipment is purchased or disposed.
  • Provide safety information to our external, third-party vendor on a monthly basis.
  • Secure military badges for Federal projects.
  • Fosters a compliance culture by communicating proposed regulatory changes and/or industry compliance-related matters to the appropriate stakeholders.
  • Collaborates with support departments across the enterprise to facilitate the implementation and enforcement of policy and procedures.
  • Supports and promotes the corporation by developing and maintaining relationships with federal, state, and local agencies on an ongoing basis.
  • Maintains confidentiality and requires confidentiality of all staff.
  • May perform other duties as requested, directed, or assigned.

The estimated starting base salary for this role is $60,000.00-$65,000.00

Requirements

Education/Licensure           

  •   High School Diploma or equivalent work experience required.

Years of Experience

  • Two plus years of prior administrative experience.
  • Prior licensing experience preferred.
