Position Overview:
The Administrative Assistant (AA) will provide direct administrative support to ICAST’s Chief Operating Officer and ICAST’s Chief Financial Officer to ensure that daily operations are carried out effectively and efficiently. In pursuit of this goal the AA will assist in managing emails, communications, calendars, scheduling meetings, conference & travel preparations, running weekly & monthly reports, and updating information in various systems & databases as requested by the officers of the company.
Requirements
Must Have Qualifications:
- Min. 3 years prior experience as an Executive Assistant or similar role
- Experience in making and managing travel arrangements
- Proficiency with M365 suite of products (Outlook, Excel, Word, etc.)
Preferred Qualifications:
- Previous experience in managing an executive's daily calendar.
- Some experience with Salesforce CRM
- Exceptional Organizations skills
- Ability to organize, prioritize, and track: tasks, activities, events
- Adaptable with the ability to adjust to change quickly while meeting deadlines
- Proven ability to work Independently or as part of a team
- Excellent communication skills both written and verbal
Location: Remote in the U.S.A.
Reports to: COO & CFO
Skill Level: Intermediate
Education: Min. 3 years’ experience as assistant to a C-level manager or Director
Areas of Expertise: Administrative Support, Travel Arrangements, Calander & Schedule Management, Customer Service
Compensation: $25 -$30/hr
Key Responsibilities:
- Managing the calendars of ICAST’s Chief Operating Officer and Chief Financial Officer
- Assisting with communications, managing Officer’s email.
- Scheduling meetings.
- Planning and organizing Officer’s travel arrangements in accordance with ICAST’s travel policies.
- Assisting with the production of regular daily/weekly reports.
- Updating information in various departmental databases and other data management tasks as directed.
