Full Job Description

The Purchase Order Administrator is responsible for reviewing incoming POs and accurately matching them to the corresponding sales orders. This role involves preparing and distributing Sales Orders reports to identify and follow up on missing POs, supporting the achievement of department revenue goals. The PO Admin will handle reporting and research on cases that are incomplete due to missing POs, including rebilled and credited cases. This position ensures that POs are reviewed for product details, quantities, and pricing, verifying alignment with the Sales Order before entering the POs into the ERP system for final invoicing. This position supports compliance to applicable domestic and international regulatory medical device regulations such as Part 820, 1271, MDD 93/42/EEC, and ISO 13485:2003.

Essential Duties and Responsibilities

  • Reviews and processes all incoming POs with meticulous attention to detail, ensuring 100% accuracy and alignment with department standards.
  • Leads proactive efforts to contact Buyers, Sales Representatives, and customers to secure missing POs, directly supporting the department’s cash goals and objectives.
  • Generates and distributes outstanding PO reports to customers daily and follows up to ensure timely resolution.
  • Identifies discrepancies between Sales Orders and Purchase Orders and promptly communicates with Sales Representatives and customers to address and resolve them.
  • Reaches out to hospitals and Distributors to secure aging POs and reduce open PO balance.
  • Responds promptly and accurately to all customer inquiries, providing clear and helpful information.
  • Maintains up-to-date knowledge of products by attending training sessions and applying learned information to improve order accuracy.
  • Collaborates effectively with internal departments and external customers to support efficient operations and resolve issues.
  • Responsible for issuing credit memos and rebills and recording them with meticulous attention to detail.
  • Maintains regular and consistent attendance, including adherence to shift schedule
  • Performs other duties as assigned.

  • Exceptional attention to detail with accurate, efficient data entry skills.
  • Customer service skills with a background in accounting or business knowledge preferred.
  • Familiarity with ERP software to input, track, and manage POs and sales orders efficiently.
  • Knowledge of SOX compliance standards and best practices.
  • Proficient in MS word, Excel, and Outlook
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills to prioritize tasks and meet deadlines.

  • Ability to collaborate effectively across departments, including Finance, Sales, and Customer Service.

Education and Experience
Minimum High School or GED. 1-2 years of experience in data entry or order processing, preferably in the medical device and/or spine industry

For roles based in the United States that require access to hospital facilities, must be eligible for and maintain credentials at all required hospitals, including meeting any applicable physical requirements or vaccination requirements (including the COVID-19 vaccine, as applicable).

Salary Range

Alphatec Spine, Inc. complies with state and federal wage and hour laws and compensation depends upon candidate’s qualifications, education, skill set, years of experience, and internal equity. $20 to $28 Full-Time/Hourly Range
