Full Job Description
Mark III Construction (M3) seeks an experienced and motivated Bid Coordinator to support the Business Development and Estimating teams in daily bid activities. This position is responsible for managing the entire bidding process, from identifying potential projects to preparing and submitting bids; all while ensuring that best practice standards are applied. In doing so, the Bid Coordinator works closely with the estimating team and other stakeholders to ensure that bids are accurate, competitive, and submitted on time. This position reports to the Director of Estimating.

Responsibilities:
The responsibilities of the Bid Coordinator include, but are not limited to:
- Acting as the central point of contact on all bids and proposals, and guides the work of the estimating team regarding bid and proposal schedules and documents Monitoring relevant competitive procurement opportunities, managing the bid opportunities pipeline, and circulating opportunities to appropriate M3 stakeholders for review and feedback
- Reading and understanding client bid documentation, deadlines and submission requirements
- Receiving and analyzing bid invites, RFQs, RFPs and RFIs - in conjunction with department management and subject-matter -experts - to determine feasibility of proposing/bidding
- Administrative support for bid kickoff and debrief meetings, as well as preparing detailed bid documents , and compliance requirements for all phases of bid development
- Preparing and submitting prequalification documents and tracking prequalification status with public agencies, private organizations, and general contractors
- Supporting the development and submission of winning bid submissions by working with the estimating team, internal experts, and external contractors, as required
- Supporting the development and submission of technical proposal submissions by working with the estimating and marketing teams, as required
- Consolidating content from contributors into the required format and flagging gaps to department management
- Ensuring timely and accurate communication with all internal and external bodies involved in the production of a bid or proposal
- Researching and gathering information to include M3 corporate and M3 Service information, and other standard materials
- Liaising with the Marketing team to help create and update bid and proposal materials to ensure their branding are client focused and in-line with M3 brand guidelines
- Monitoring bid content to ensure compliance to RFP requirements, evaluation criteria, and technical requirements
- Soliciting management reviews and approvals during bid development
- Assisting with the delivery of all bid and proposal submissions to ensure these are delivered within submission timescales
- Tracking Departmental Results and Measurables
- Facilitating a retrospective assessment on bids, and refining future submission strategies, processes, templates and training
- Maintaining, augmenting, and improving library of reusable bid components, templates, and processes to reduce response time and improve quality on future submissions
- Other related tasks as assigned
Qualifications & Competencies:
- High school degree and 1 – 3 years successful experience in a bid management environment
- Proven ability to work across divisions with effective communication, leadership, and project management skills
- Bid experience within the construction industry
- Knowledge and understanding of Public Sector bidding
- Excellent English - presentation and written/oral - communication skills
- Proven attention to detail
- Ability to work in a deadline-conscious, results-driven environment
- Team-oriented
- Excellent knowledge of Microsoft Office products: Word, Excel, Outlook, PowerPoint

Wage $25 - $35 per hour DOE
