Full Job Description
IHDLab is seeking a highly organized and detail-oriented Administrative Coordinator to join our team. As an Administrative Coordinator, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will be responsible for coordinating administrative tasks, managing schedules, and providing support to various departments within the organization.
Responsibilities
- Coordinate and manage administrative tasks, including scheduling appointments, managing calendars, and maintaining office supplies
- Assist with the preparation and distribution of internal communications, reports, and presentations
- Handle incoming calls and emails, providing assistance or redirecting inquiries as necessary
- Manage and maintain records and databases, ensuring accuracy and confidentiality
- Coordinate travel arrangements and accommodations for staff members
- Assist with organizing and coordinating meetings and events
- Coordinate with other departments to facilitate interdepartmental communication and collaboration
- Assist with ad hoc projects and tasks as assigned
Requirements
- High school diploma or equivalent; bachelor's degree in Business Administration or a related field is preferred
- Proven experience as an Administrative Coordinator or similar role
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent communication and interpersonal skills
- Ability to prioritize and multitask in a fast-paced environment
- Strong problem-solving skills and the ability to work independently
- Experience with coordinating travel arrangements and managing calendars
- Knowledge of office management systems and procedures
