Full Job Description

Position Description: Prime Roots was founded in a mutual love for the traditions around eating meat and the vision of a better option for our planet. The Administrative Coordinator plays a vital role in our day-to-day operations and our sales and marketing enablement.  

  

Primary Responsibilities 

What you’ll do: 

40% Logistics Coordination 

  • Produce and manage inventory of marketing material and supplies 
  • Manage printing, reproduction, and inventory of marketing collateral/materials 
  • Maintain printing and shipping area to ensure smooth operation 
  • Handle custom requests and creative projects (requests for customers, events, etc.) 
  • Manage shipping and provide support for team and marketing events 
  • Produce and ship PR and Brand Ambassador kits 
  • Track and coordinate inventory of collateral, event gear, etc. across all locations 
  • Receive and verify deliveries of marketing materials before stocking into inventory 
  • Pack and ship items for company events according to pack lists as needed 

30% Sales & Marketing Coordination 

  • Coordinate needs for sales team with internal and external resources 
  • Coordinate customer success activities (e.g. lunches, holiday gifts) 
  • Source vendors and negotiate deals for collateral 
  • Coordinate design resources and reproduction 
  • Assist in event preparation, execution, and staffing 
  • Provide prep support for pitches and events, including food preparation 
  • Assist with marketing content capture and customer launches 
  • Support customer launches in the office and on-site 
  • Provide admin support for sales & marketing activities, consumer service as needed 
  • Manage customer service, including order inbox and processing 

20% Front-Office Support 

  • Oversee the daily work activities of the office 
  • Provides support to visitors – managing Envoy 
  • Receives deliveries from carriers and oversees reception area 
  • Handles opening and closing tasks for the office (e.g. dishwasher, closing deli) 
  • Coordinate events and work with contractors to maintain office function 
  • Manage snack program and order weekly lunches 
  • Source vendors for office projects and work with current contractors (cleaning crew) 

10% Other projects, as assigned

Job Specifications/Qualifications

Requirements 

  • Prolonged periods sitting at a desk and working on a computer. 
  • Food handling experience strongly preferred 
  • Comfortability with printers and other standard office machines strongly preferred 
  • Must be able to have command of technology tools (Canva, Adobe, Microsoft Office Suite preferred) 
  • Must be able to access and navigate all areas of the facility. 
  • Must be able to lift up to 25 pounds at times. 

 

Hours 

  • This is a full-time position that is expected to work 40 hours per week. Occasional evening and weekend work may be required based on company events and trade show schedule.  

Knowledge 

Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. 

Administration and Management - Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, production methods, and coordination of people and resources. 

English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. 

Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.

Reading Comprehension - Understanding written sentences and paragraphs in work related documents.
