JOB OVERVIEW
The Conference Services Manager contributes to The Cloudveil’s mission of providing lasting memories and transformational experiences for its guests. Whether they are attending a meeting or participating in a hotel activity on the rooftop terrace, the Conference Services Manager will ensure exceptional service and unique touches.
ESSENTIAL JOB FUNCTIONS
- Hotel and Meeting Facilities Knowledge - Possess in-depth knowledge of hotel facilities, guest rooms, and the capacities and dimensions of meeting rooms.
- Event Coordination - Coordinate all hotel arrangements including menu selections, meeting room setups, AV needs, billing requirements, and guest room accommodations according to client requests.
- Communication and Documentation - Prepare banquet event orders, resumes, and rooming lists to clearly communicate event details to all departments.
- Personalized Event Planning - Collaborate with the food and beverage/banquet teams to create personalized menus and events that meet client goals while achieving the hotel’s revenue targets.
- VIP and Group Reservations - Handle VIP reservations and create group room blocks to ensure seamless guest experiences; Advise the team of any special needs through detailed comments, alerts, and cashier
- Client Relationship Management - Develop and maintain strong relationships with meeting planners and community members to ensure the hotel remains a top choice for meetings and events.
- Site Visit Preparation - Prepare for site visits by inspecting meeting rooms, arranging take-away gifts, inspecting guest rooms, and sending site alerts to all relevant departments.
- Property Tours - Conduct detailed tours of the property for meeting planners and potential clients, showcasing the hotel’s amenities and services.
- Marketing and Collateral Updates - Assist with updating marketing collateral, PowerPoint presentations, and websites as needed to reflect current offerings and promotions.
- Works with the food and beverage/banquet teams to create personalized menus and events, focusing on achieving the client’s goals, while at the same time achieving the revenue goals of the hotel
- Arranges daily and weekly calendars of events to communicate to all departments of the Hotel
- Community Events - Work closely with the sales team to curate events that enhance the guest experience and foster a sense of community and connection to Jackson.
- Event Scheduling - Arrange and communicate daily and weekly calendars of events to all hotel departments to ensure smooth operations.
Requirements
ESSENTIAL REQUIREMENTS
- College degree or equivalent experience
- 3 years of experience in hotel sales, preferably at an upscale, full-service hotel
- Excellent verbal and written communication skills
- Ability to manage time effectively, handling multiple projects at a time and meeting deadlines
- Ability to effectively liaise between hotel and client, communicating clearly through banquet event orders and email
- Excellent attention to detail
- Excellent problem resolution skills
- Sales aptitude, building relationships to assist with selling, upselling and re-booking the business
- Mastery of Microsoft Office
