We are looking to add a Transportation Coordinator to our growing Operations team. The ideal candidate is driven by a commitment to securing optimal transportation solutions and balancing cost considerations with service-level requirements. They excel in maintaining composure and solutions-oriented during high-pressure, time-sensitive scenarios. They prioritize the timely delivery of all shipments and continuously maintain clear, kind, and prompt communication. The coordinator will oversee the efficient operation of transportation and fleet systems from the Schilling Auburn Washington facility. This full-time on-site role requires excellent communication, organization, problem-solving, and planning abilities. The Transportation Coordinator will manage multiple transportation nodes simultaneously, troubleshoot any emerging issues, and strategize for future scalability.

Primary Responsibilities  

  • Optimizing Shipment Costs: 
    • Ensure every shipment option to ensure the lowest cost for the appropriate service level. 
    • Negotiate rates with carriers and brokers to achieve cost savings. 
    • Shipment Tracking and Communication: 
    • Implement systems to track and trace all shipments, ensuring delivery as scheduled. 
    • Communicate transit updates to relevant stakeholders, providing timely information. 
  • Collaborative Order Management: 
    • Coordinate with stakeholders to ensure order quantity, inventory, and staffing requirements are met for each shipment. 
    • Facilitate communication between vendors, customers, and internal teams to streamline processes. 
  • Record Maintenance and Analysis: 
    • Maintain accurate transportation records for auditability and trend analysis purposes. 
    • Utilize data analysis to identify opportunities for process improvement and cost savings. 
    • Month-end shipping reconciliation. Collaborating to ensure all shipping documentation aligns with month end physical inventory, and accounting audits. 
  • Shipping Documentation Management: 
    • Transcribe purchase orders into warehouse orders and create Bills of Lading accurately. 
    • Ensure proper documentation is maintained for each shipment, facilitating smooth operations. 
  • Vendor and Carrier Management: 
    • Cultivate and expand the network of carriers and brokers to ensure competitive rates. 
    • Foster positive relationships with vendors and carriers to enhance collaboration and service levels. 
  • Issue Resolution and Compliance: 
    • Address transportation and fleet issues promptly, collaborating with relevant stakeholders for resolution. 
    • Ensure vehicle fleet operators comply with state and regulatory requirements, conducting regular checks and audits. 
    • Ensure all maintenance is scheduled and completed by fleet operators. 
  • Subject Matter Expertise: 
    • Stay informed and updated about transportation, freight logistics, fleet management, regulatory requirements, and share relevant insights with the organization. 
    • Serve as the go-to resource for transportation-related inquiries and guidance within the organization. 
  • Continuous Improvement: 
    • Collaborate with cross-functional teams to identify areas for improvement in transportation and fleet systems. 
    • Implement initiatives to enhance efficiency, scalability, and growth of transportation operations. 
  • Training and Development: 
    • Provide training and support to internal teams on transportation processes and best practices. 
    • Onboard fleet operators with state, regulatory, and maintenance requirements 
    • Balancing work schedule roughly Monday through Friday between 7 am and 3:30 pm PST, with the expectation of responding to calls or emails as business needs dictate. 

Requirements

  • Excellent verbal and written skills.   
  • Proficiency in Microsoft Office Suite offerings.  
  • Continuous curiosity about the transportation and shipping industry.  
  • Possess a highly collaborative approach and a strong focus on customer service.   
  • Ability to prioritize tasks and to delegate them when appropriate.  
  • Strong analytical skills.  
  • Excellent planning + time management skills with a strong inclination to get a task done well within agreed-upon deadlines.   
  • Manageable obsession with organization and attention to detail.  
  • Skillful at establishing trust and credibility at all levels of an organization and building meaningful relationships.  
  • Effective communication and collaboration with stakeholders at all levels of an organization.  
  • Experience and willingness to negotiate with partners to find the best outcome for all parties.  
  • Experience handling confidential information, escalating issues when appropriate, and advocating on behalf of both the employee and the employer.   
  • GED 
  • Must be 21+ years of age 
  • Must be fully vaccinated for COVID-19 with booster shot completed 
  • Lead by example and taking initiative; be outgoing and approachable 
  • Be self-driven and self-motivated 
  • Work independently and as part of the team 
  • Be an energetic, organized, and a motivated problem solver

Experience 

  • 4-6 years in the transportation industry 
  • Thorough understanding of the North American transportation industry and logistics, including paperwork flow 
  • Prior dispatch, fleet, and dock experience, preferably in the North American warehouse industry 
  • Working knowledge of Electronic Logging Devices requirements 
  • Working knowledge or understanding of North American freight broker industry 
  • Working knowledge of commercial vehicle insurance regulations 
  • Working knowledge or understanding of accounts payable cycle 
  • Understanding of inventory and order management ideally in the food and beverage industry 
  • Understanding of vehicle fleet management 
  • Understanding of North American beverage distribution network

Schilling Cider was founded in a garage in 2012.  And while the glycol chiller that we run today couldn't even fit in that garage, the same spirit for making bold, flavor-forward ciders and always figuring out how to do it better lives on today.  Schilling Cider is the second largest cider producer in the US thanks to the team of people who work across the company.  That growth has been enabled with the installation of a high-speed canning line capable of 1,200cpm.  We're looking to add team members to help care for our equipment and improve processes.  While it is no longer in a garage, the same culture and drive are there in what we do today and what we're laying the groundwork for tomorrow.
