Job Summary:
Responsible for assisting all with appointment scheduling, patient care, and Medical assisting needs Excellent communication and interpersonal skills, ability to quickly learn product and service information. High quality patient care, phlebotomy and customer service skills are a must.
General Reception and Check-In Tasks
● Greets visitors and patients entering the practice and alerts appropriate staff of patient arrivals.
● Prepares Day Sheet to ensure missing documents are collected from patients upon their arrival.
● Performs necessary duties associated with checking patients in.
● Establishes, maintains and keeps patient accounts and records up to date (i.e. address, phone number, insurance information, etc.) in practice management software.
● Monitors and sorts the office email account.
● Keeps the front desk and reception areas clean and tidy. Organizes magazines to keep current and neat. Water plants.
● Empties the trash, wipes doorknobs, chairs, and other high-touch surfaces between regular office cleanings. Turns off the lights, and verifies all doors are closed and locked before leaving each day.
Patient Coordinator:
● Answers telephone, route calls, provides information, and takes messages in accordance with practice procedures.
● Schedules patient appointments and manages new patient leads ready to schedule. Monitors the schedule regularly, makes necessary adjustments, and reschedules patients as needed to maximize the patient care and doctor preferences.
● Management of all marketing leads requiring follow up calls or scheduling
● Ensures all scheduled marketing lead appointments are registered with necessary information in the EMR system and that all intake paperwork is sent out to patients at the time of scheduling. All intake forms and labs must be completed prior to appointments.
● Reviews messages (voice, email, new leads) that came in since the prior day and follows up with patients accordingly.
● Adheres to cancelation policy when scheduling all appointments, which includes taking deposits and/or credit card information at the time of scheduling.
● Confirms patient appointments in accordance with the practice confirmation protocol.
● Keeps staff and doctors informed of scheduling problems, issues or concerns, as they arise.
Medical Assistant:
● Support our Aesthetic specialists with patient intake and treatment prep and pre and post care
● Occasional administration of wellness Injections as needed
● Prepare equipment and examination rooms, and clean instruments
● Knowledge of aesthetic procedures
● Assist with other duties as assigned
Knowledge/Skills/Abilities:
● Ability to explain instructions to others with less technical or medical knowledge.
● Proficient in using conflict resolution and problem-solving techniques to manage interpersonal conflict, complaints, and other discord amongst staff or patients.
● Knowledge of English composition, grammar, spelling, and punctuation, including medical terminology.
● Skilled in the use of standard office equipment including telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Google Docs/Sheets, practice management software).
● Ability to maintain composure and professionalism when exposed to stressful situations.
● Ability to maintain confidentiality in accordance with HIPPA and follow compliance requirements, including but not limited to training/classes
● Maintain confidence with the patient regarding abilities of doctor(s) and staff.
● Ability to work cooperatively with management, staff, and patients.
● Ability to prioritize, organize, and complete tasks in a timely and independent manner.
● Ability to accept constructive feedback.
● Ability to understand and follow written and verbal instructions.
● Ability to collect data, establish facts, draw valid conclusions, and maintain confidentiality.
● Ability to communicate and express thoughts and ideas competently.
● Ability to quickly grasp relevant concepts regarding duties and responsibilities.
● Ability to greet patients professionally and courteously as well as provide quality patient care at all times.
● Adheres to all safety and health regulations.
Qualifications
High School Diploma or GED
● Medical Assistant Certification or previous work experience as Medical Assistant preferred
● 1+ years of customer service or sales experience required; experience in an aesthetic or medical setting preferred
● Ability to communicate clearly and effectively with clients, peers and managers in a friendly and courteous manner
● Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
● Ability to work as part of a team and take initiative independent of direct supervision
● Proficient with Outlook, Excel, Instagram and Word
● Availability to work evenings and weekends
