Full Job Description

EPIC Early Learning is currently seeking an Administrative Coordinator to join our team. As a private, nonprofit organization, EPIC has been providing early childhood educational services to children and families in Central Washington for over 35 years. Our mission is to ensure that every child has the best possible start in life by creating a nurturing and supportive environment that promotes their emotional, social, and intellectual growth.

The ECEAP Administrative Coordinator provides administrative and clerical support to the ECEAP Center Management Team and individual ECEAP Centers. The Administrative Coordinator will assist the Center Manager with the leadership of site activities and will directly supervise the Cooks at EPIC Place. The Admin Coordinator will assist with training documentation, maintain site files and coordinate the USDA and Human Resources functions as it relates to training.

Responsibilities

  • Manage and coordinate office operations, including office supplies, equipment maintenance, and vendor relationships
  • Coordinate meetings and events such as family nights, and staff meetings, scheduling, and preparing agendas.
  • Prepare and distribute communications, such as memos, letters, and reports
  • Support the Center Manager and program staff with administrative tasks, such as filing, data entry, and record keeping and other center needs.
  • Assist with the development and implementation of administrative policies and procedures
  • Maintain confidentiality of sensitive information and handle it with utmost discretion
  • Perform other duties and responsibilities as assigned
  • Be committed to characterizing a culture of safety within our centers/sites, playgrounds, buses and anywhere that children may be present. Be familiar with and encourage EPICs culture of “See Something, Say Something”.

Requirements

  • High school diploma or GED required.
  • Proficient typing skills with the ability to accurately type 50 words per minute, and the ability to take comprehensive meeting notes.
  • Strong computer skills in Microsoft Word, Microsoft Excel, and Microsoft Publisher.
  • Preferred bilingual/biliterate in English and Spanish, although testing for Spanish proficiency will be conducted.
  • Excellent communication skills, attention to detail, editing skills, and the ability to collaborate effectively with team members, coworkers, vendors, clients, and the general public.
  • Ability to work independently with minimal supervision.
  • Must possess a valid Washington State Driver’s license, personal transportation, and required auto insurance.

Pay Level: $20.00 to $23.00 Hourly (Full-time position)

Requirements

  • High school diploma or equivalent, associate degree preferred
  • Proven experience in an administrative role
  • Proficient in Microsoft Office suite
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Knowledge of budget management and financial record keeping
  • Valid Washington State Driver's license, own transportation, and required auto insurance

Conditions of Employment:

  1. Prior to employment, complete a pre-employment drug screen, TB skin test by an EPIC approved healthcare provider at no cost to the employee.
  2. Pre-employment basic physical by an EPIC healthcare provider (obtain within (30) days of employment and no cost to the employee).
  3. Must pass an initial and periodic background check through the Washington State Department of Children, Youth & Families (DCYF).
  4. Provide proof of MMR vaccination and/ or resistance to Measles, Mumps & Rubella.
  5. Current Food Handlers card (obtain the training within 30 days of employment).
  6. Current First Aid/CPR card (obtain within 30 days of employment).
  7. Complete Childcare Basics 30 hours STARS training within 3 months of hire
  8. Meet the minimum education requirements within the timeframe as stated in the performance standards.
  9. Complete Child Abuse and Neglect training and all other mandated training.
  10. CEO Approval.
