Navarro Research and Engineering is recruiting for an Administrative Assistant in Richland, WA.

This position will support Navarro-ATL. Navarro-ATL is located in Richland, WA, and operates, manages, and maintains the 222-S Laboratory Complex for the Department of Energy. The Navarro-ATL members are Navarro Research and Engineering, Inc. (Oak Ridge, TN), and Advanced Technologies and Laboratories International (Gaithersburg, MD).

This position performs a variety of routine to complex secretarial and administrative functions in accordance with company and departmental policies and procedures. Collects, analyzes and compiles data and information from various sources; composes, prepares and types a variety of correspondence, memos, reports and other materials; maintains hardcopy/electronic files, and assists with tracking budgets related to department operations, programs, and expenditures. Maintains professional, effective communication and works cooperatively with other management and staff to ensure smooth and effective operations. Maintains sensitivity of confidential business or personal information.

NOTE: This position is distinguished from an Executive Assistant in that an incumbent in the latter classification provides direct support to a member of the Executive/Senior Management team.

Responsibilities:

  • Under general supervision, performs a variety of routine secretarial and administrative functions in support of management and staff.
  • Duties performed require knowledge of departmental and company practices, and the ability to exercise limited judgment while maintaining sensitivity of confidential business or personal information.
  • Receives and screens visitors and telephone calls.
  • Prepares quality and timely correspondence, reports, and presentations for management review prior to final issuance.
  • Schedules appointments and coordinates the department's or manager's interface with other company organizations, clients, and external groups.
  • Establishes and maintains department and/or project files.
  • Performs routine data entry and updates/maintains information in databases as required.
  • Coordinates and arranges meetings, events, visits, and tours as required. This may include working with other personnel to coordinate schedules, resources, and working with outside vendors as needed.
  • Arranges business itineraries, and coordinates travel requirements for management and staff.
  • Works with manager to support coordinating resources for new employees as appropriate. Assists with supporting and coordinating office moves.
  • Supports managers with tracking completion of employee requirements such as Employee Job Task Analysis (EJTA) forms, timesheets, required training, etc.
  • During manager's absence, sees that matters requiring attention are referred to delegated authority in a timely manner.
  • Orders and maintains supplies for department or project.
  • Other duties as assigned.

Requirements

Minimum Qualifications:

  • High school diploma and 3 years of relevant work experience, or an equivalent combination of education, training, and experience.

Preferred Qualifications:

  • Proficient in Microsoft Office Suite and Adobe Acrobat.
  • Excellent written and verbal communication skills.

Compensation:

Grade 4: $43,125 - $54,375

Grade 5: $47,450 - $59,850

Grade 6: $52,150 - $65,750

The grade level offered to the selected candidate will be based on business needs and the candidate's education, training, and/or relevant experience.

In accordance with the Navarro Research and Engineering, Inc (Navarro) salary determination process, Navarro takes into consideration the level of assigned job duties and responsibilities and the candidate’s education, training, and/or experience relative to internal peers and the external labor market. A candidate's salary history will not be used in compensation decisions.
