Responsibilities
As a Specialty Construction Project Clerk at ITAC, you will play a crucial role in supporting the project management team by ensuring that all project-related documentation is accurate, organized, and easily accessible. The Project Clerk is expected to apply accepted document control, business, project, administrative, and human resource procedures. Tasks will have clear and specified objectives; however, some work will be self-directed. The Project Clerk will be required to review the details of each completed take to ensure that his/her work is error free. Task assignments may vary as needed for assigned operating unit/department. Your responsibilities will include:
- Office Support-may vary as needed for assigned operating unit/department
- Day to day office support
- Create new files (physical and electronic as needed)
- Credit card coding assistance
- Order/Maintain office supplies
- Organize, coordinate client visits
- Project close-out
- Work with Document Controls to control the flow of documents, internal and external, to ITAC. This includes but is not limited to drawings and specifications issued for review, approval, bid, construction, and/or PO’s, CO’s, contacts, etc.
- Implement document control procedures to control documentation flow through ITAC
- File project documents in Sharepoint, Procore, and other servers
- Update and distribute miscellaneous brochures and literature as requested
- Knowledge of printing, copying, and scanning systems
- Ensure proper filing and storage of documents on projects
- Support department managers with expense reports, credit card reconciliation, and timesheet entry
- Support department to ensure jobs or project execution meets ITAC policy and procedure standards
- Organize lunches as required, work with vendors to coordinate lunch and learns
- Support the development of proposals by completing job set-up
- Maintain daily CRM efforts, data entry, and upkeep
- Complete job set-up in a timely manner, ensuring completeness and accuracy. This includes sending job estimates, proposals and PO’s to Project Accounting
- Engineering licensure management and maintenance for various states as needed
Requirements
EDUCATION
- High School diploma required
EXPERIENCE
- 1-2 years of experience in project coordination or administrative support, preferably in construction or engineering.
ADDITIONAL REQUIREMENTS
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and prioritize effectively.
- Must pass criminal background and drug test.
