We are looking for a dynamic Senior Program Administrator to support the Office of the Under Secretary of Defense, Force Education and Training Office (FE&T). This position will report to a CATHEXIS task lead who will assist them with their transition into their day-to-day responsibility of supporting our client. They will join a larger CATHEXIS team that supports other OUSD offices. 

The Senior Program Administrator will provide administrative, organizational, and process management support to senior-level decision-makers within OUSD FE&T. They will regularly coordinate with stakeholders within the Department of Defense (DoD) and with other government agencies to manage tasks.  

The work location of this position is on-site at the Pentagon. 

This position is contingent on Government award.

Responsibilities

  • Provide administrative support to FE&T leadership and staff, including correspondence, calendar, documentation, report, and SharePoint Site management, and additional administrative duties
  • Responsible for leveraging expert-level CATMS experience to the maximum extent of its functionality to move actions efficiently and effectively, including using the SLAP process, without printing documents, including all reviews and signatures electronically
  • Responsible for the support and training of FE&T personnel after they have received the official CATMS training
  • Responsible for understanding the OSD manual for correspondence to ensure all documents are in accordance with the DoD rules, instructions, and standards, and assist in the editing of all documents to ensure the bottom line up front, grammatically correct, and punctuation is proper
  • Ensures that all PowerPoint briefings, read-ahead material, ghost emails, and other correspondence are formatted according to ASD(R) standards and guidelines
  • Responsible for updating the signature authority for the Directors, Principal Director, and DASD for documents signature authority
  • Ensures the accurate, concise, coordinated, and timely processing of executive correspondence to include Congressional reports and/or briefings, IG and GAO engagements, FOIA, issuances are tracked to ensure they all meet the suspense dates and tracked in the FE&T tracker
  • Assist with managing the DASD calendar, to include all administrative information on all calendar events to include the 5 W’s, and phone calls
  • Able to manage, organize, and update documents in the FE&T share point site, with fluency to build and modify, to ensure the personnel in FE&T have all the information, formats, and guidance needed in support of their mission
  • Supports the updates of ASD priority slide and strategic calendars
  • Coordinates with government lead on the identification of priorities and assigned tasking
  • Maintains weekly and monthly tracking systems to measure organizational efficiency. Tracking may also include high visibility items, overdue requests, and maintenance of executive dashboards; provides regular updates to leadership

Requirements

  • Must have Active Secret Clearance with the ability to acquire a Top Secret; Active Top Secret or above is preferred
  • Bachelor’s Degree
  • 5 - 8 years of experience supporting DoD programs in an administrative capacity
  • Expert experience with the Correspondence and Task Management System (CATMS) is required 
  • Experience working with or knowledge of the Freedom of Information Act, Issuances, GAO/IG requests

Skill 

  • Organized with strong attention to detail 
  • Ability to multitask, track multiple due dates, and adapt to shifting priorities
  • Experience working in or supporting the Office of the Secretary of Defense (preferred) 
  • Ability to work independently with minimal direct supervision
  • Experience with standard MS Office suite products and SharePoint 
  • Ability to maintain consistent performance in a dynamic environment with shifting priorities
  • Skilled in communicating effectively and maintaining good working relations with diverse groups

CATHEXIS offers competitive compensation packages to all eligible employees. Our goal is to provide a compensation package that reflects the value you bring to our team, is competitive with market rates, and promotes your financial security and personal well-being. The annual salary range for this role is $102,000 - $159,000. Please note that the salary information provided is a general guideline. CATHEXIS considers various factors in its final offer, including location, qualifications, experience, and skills.
