Job Description:
We are seeking a highly organized and proactive Executive Assistant to support key members of our operations team, specifically the COO & VP of Operations. The ideal candidate will have exceptional communication and interpersonal skills, be able to handle a wide range of administrative tasks, and work effectively in a fast-paced and dynamic environment. This role is crucial in ensuring the smooth operation of the executive team and the overall success of our organization.
Requirements
Key Responsibilities:
Calendar Management: Manage and coordinate the executive team's schedules, including meetings, appointments, and travel arrangements. Ensure efficient time management and prioritize conflicting commitments.
Communication: Act as the primary point of contact between the executive team and internal/external stakeholders. Handle phone calls, emails, and correspondence with professionalism and discretion.
Meeting Support: Prepare agendas, attend meetings, and take minutes as needed. Coordinate meeting logistics, including room bookings, video conferences, and refreshments.
Travel Arrangements: Arrange and coordinate travel plans, including flights, accommodations, and transportation. Ensure that travel itineraries are well-organized and cost-effective.
Documentation: Manage and maintain important documents, records, and files, including confidential information. Assist in document preparation, proofreading, and editing.
Expense Management: Process and track expense reports, ensuring accuracy and compliance with company policies in Concur.
Task Coordination: Assist in project management and follow up on tasks and assignments on behalf of the executive team. Collaborate with other team members to ensure deadlines are met.
Vermont Office Operations: Support general office operations, such as ordering supplies, organizing office space, and coordinating office maintenance, ordering weekly lunches and assisting with visitors.
Problem-Solving: Handle unforeseen challenges and issues as they arise, finding effective solutions to maintain efficiency.
Confidentiality: Maintain the highest level of confidentiality with sensitive information and corporate matters.
Event Organization: Work to organize monthly events that bring the VT office employees together.
Qualifications:
- Proven experience as an Executive Assistant or in a similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in office software and tools (e.g., Microsoft Office, Concur).
- Ability to work independently and as part of a team.
- Exceptional attention to detail and accuracy.
- Adaptability and a proactive approach to tasks.
- Discretion and the ability to handle sensitive information.
