Position Overview
The Controller is a key member of the financial team, reporting directly to the Chief Financial Officer (CFO). This role supports the CFO in overseeing financial functions, including strategic planning, reporting, risk management, and compliance. The Controller will also manage many facets of the Accounting Department, ensuring effective, accurate, and efficient operations while supporting VHV's mission and goals. The Controller will spend about 70% of their time with day-to-day accounting and 30% with strategic duties.
Duties & Responsibilities
Financial Leadership:
- Collaborate with the CFO to develop and execute financial strategies that align with VHV's business objectives and growth plans.
- Assist in long-term financial planning, including capital structure and investment strategies.
Accounting Department Management:
- Supervise accounting staff, including payroll, accounts payable, accounts receivable, and payroll taxes.
- Understand and maintain the corporate accounting software system (Spectrum).
- Foster a high-performing, collaborative team environment within the department.
- Oversee process improvements to enhance operational efficiency and accuracy.
Daily and Monthly:
- Ensure transactions are entered correctly.
- Complete month and year-end closings and post necessary journal entries.
- Perform bank, credit card, and cash reconciliations.
- Create and maintain a documented system of accounting policies and procedures and implement a system of controls over accounting transactions to minimize risk.
Payroll:
- Assist with weekly payroll processing.
- Process annual W-2s and other tax forms.
- Administer employee expense reimbursements.
Taxes Administration:
- Reconcile, process, and file multi-state and federal tax returns.
- Prepare and distribute 1099s and other related tax forms.
Payables and Receivables:
- Process payables and manage vendor discounts.
- Manage and reconcile multiple credit card accounts.
- Prepare monthly construction billings.
- Manage lien waiver requirements.
- Manage receivable collections and reporting.
Financial Reporting and Compliance:
- Ensure timely and accurate preparation of financial statements and reports in accordance with GAAP.
- Support audits, tax filings, and compliance with all regulatory requirements.
- Implement and maintain robust internal controls and financial policies.
- Analyze financial statements to determine possible improvements and develop strategies to optimize cost-effectiveness.
Cost Accounting:
- Develop and analyze cost allocation for jobs.
- Investigate significant variances between actual and standard costs and recommend next steps to take.
- Provide recommendations to reduce costs and maximize profits.
Employee Ownership & ESOP Oversight:
- Work closely with the CFO and the ESOP Third-Party Administrator (TPA) to ensure proper administration of the employee stock ownership plan.
- Collaborate with the TPA on valuation, compliance, and participant statement processes.
- Educate employees on the financial aspects of employee ownership and its impact on the company’s success.
Education, Experience, and Skills
- Bachelor’s degree in Accounting, Finance, or a related field (MBA preferred).
- The Certified Construction Industry Financial Professional (CCIFP) designation by CFMA is preferred. The CCIFP designation recognizes professionals with a comprehensive body of knowledge, competency, and ethical behavior, and demonstrates a high level of competence in all areas of construction financial management.
- Minimum of 8-10 years of progressive financial leadership experience, preferably in the construction, HVAC, or similar industry.
- Strong understanding of GAAP, financial reporting, and compliance requirements.
- Proficiency in financial systems and tools, especially Spectrum ERP or similar systems.
- Exceptional analytical and problem-solving skills.
- Proven ability to lead and mentor teams, fostering collaboration and growth.
- Strong organizational skills with the ability to manage multiple priorities effectively.
- Excellent communication and interpersonal skills, with the ability to present complex financial information clearly to diverse stakeholders.
