Facilitate the mission of the Department of Event Management by supporting the scheduling and service dissemination of event planning for the College. Provide leadership, policy oversight, direction and coordination in operational needs as they relate to institutional event planning.
This is a full time, benefits eligible, salaried position with a hiring range of $54,828 - $68,500 per year. This position is hiring for a January 2025 start date.
Core Responsibilities:
- Serve as functional lead, database administrator, and technical support for 25Live/CollegeNet scheduling software for Middlebury College and Monterey Institute of International Studies.
- Monitor new system features and upgrades for action items and/or impact on business processes. Manage system security to ensure compliance with business practices.

- Collaborate with the Registrar’s Office as needed to ensure seamless and accurate course scheduling.
- Advance system and process improvements to maximize efficient communication among schedulers and end users, including the workflow process for service providers.
- Develop and implement training and documentation necessary for campus constituencies to utilize the department scheduling software systems effectively.
- Maintain and/or enhance the department’s website to facilitate user access to event planning tools and guidelines.
- Support and assist other members of the Event Management team with department responsibilities as needed; to include institutional planning of major annual events and ceremonies such as Commencement, Convocation, Baccalaureate, Feb Celebration, and Orientation(s).
- Assist the Event Management team with scheduling both College and non-College events as needed.

Requirements
Bachelor’s degree or a minimum of 4 years of related experience required.
Exceptional ability to communicate effectively and professionally, both verbally and in writing, with all College constituents.
Must be able to demonstrate creative and strategic thinking and problem-solving skills.
Demonstrate exceptional organizational, planning and project management skills, and capability to work both collaboratively and independently.
Able to work in a fast-paced, dynamic environment, managing multiple projects with varying priorities and deadlines.
Strong computer proficiency including: Microsoft Office &/or Mac [i.e., Excel, Word, PowerPoint, Outlook], SharePoint, Microsoft Teams, Google Docs, web browsers and tools for website editing (Drupal), and ability to learn new software programs essential to performing event planning and scheduling responsibilities.
Physical Demands and Working Conditions
The majority of work for this position is conducted in an office setting. Site visits to various spaces on campus to visually assess event set-ups and meet with event requesters are expected, as well as on site support for large institutional academic ceremonies (indoor and outdoor), which may require long periods of standing.
