Job Summary

We are seeking a highly organized and detail-oriented Office and Legal Administrative Support professional to join our team. The ideal candidate will possess strong administrative skills, a keen understanding of legal procedures, and the ability to handle a variety of tasks with efficiency, confidentiality and professionalism. This role is crucial in ensuring the smooth operation of our office and supporting our legal team.

Duties & Responsibilities

  • Provide comprehensive administrative support to the office and legal team, including maintaining the appearance of the office, getting the mail at least twice weekly and managing distribution amongst departments assuring timely information transfer, managing calendars, scheduling appointments, and coordinating meetings.
  • Managing communications for DocuSign and returning signed documents to key legal professionals in the organization.
  • Attend confidential legal meetings as required and scheduled by the Chief Compliance Officer.
  • Prepare, proofread, and format legal documents, correspondence, and reports.
  • Maintain and organize legal records, and confidential information with utmost discretion.
  • Assist in the preparation and filing of legal documents with relevant entities.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Coordinate travel arrangements and logistics staff.
  • Assist with billing and invoicing processes, ensuring accuracy and timeliness.
  • Perform general office duties, such as ordering supplies, managing office equipment, and maintaining a clean and organized workspace.
  • Support the process for new employees and exiting employees, including preparing orientation materials and coordinating training sessions.
  • Provide support for general leadership.  Such tasks will be communicated and managed in collaboration with the Chief Compliance Officer.

Requirements

Minimum Qualifications:

  • Minimum of 2 years of experience in an administrative support role, preferably within a legal environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with legal software and databases.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Attention to detail and a high level of accuracy in work.
  • Ability to handle sensitive and confidential information with integrity and discretion.
  • Strong interpersonal skills and the ability to work collaboratively in a team environment.
  • Knowledge of legal terminology and procedures is highly desirable.

Working Conditions

  • This position is hybrid and will require in office at a minimum 3 days a week.
  • Must demonstrate uninterrupted office space during work from home hours.
  • Some overtime may be required to meet deadlines or support special projects.
