POSITION SUMMARY
As an Executive Assistant supporting our CFO, Chief of Staff/Strategy, and CLO, your responsibilities encompass a wide range of administrative, organizational, and communication tasks aimed at supporting the leaders and their teams, allowing leaders to focus on strategic initiatives while ensuring seamless day-to-day operations. Your role will involve managing schedules, coordinating meetings, handling communications, and ensuring efficient operations within the department. The ideal person for the job will be a proactive problem solver with exceptional communication and interpersonal skills and a meticulous attention to detail. He/She will have previous experience working in an office environment performing administrative duties. This position is located in our St. George, Utah location.
KEY RESPONSIBILITIES
- Handle sensitive information with the utmost discretion and integrity, ensuring that confidentiality and privacy is maintained across all communications and documents.
- Coordinate and manage complex calendars, schedule meetings, and ensure timely reminders for executives, team meetings, and key stakeholders.
- Assist executives in focusing on strategic initiatives, including M&A, the Board of Directors, and technology/IP protection by efficiently managing day-to-day operations, ensuring that they have the support needed to succeed.
- Assist in organizing and tracking various projects, ensuring deadlines are met, and facilitating communication between different teams and stakeholders.
- Arrange travel itineraries, accommodations, and logistics for department leaders and team members when necessary.
- Assist in organizing and coordinating events, conferences, and department gatherings.
- Maintain and organize important files, databases, and information systems related to technology initiatives.
- Handle various administrative tasks such as expense reports, budget tracking, and other ad hoc requests from leaders.
- Be prepared to handle unforeseen challenges, adapt to changing priorities, and proactively find solutions to streamline processes and support efficiency.
- Support leaders in presentation prep work by employing effective design principles and content curation.
- Coordinate productive interactions and communication channels between leaders and their teams to foster support and synergy within the team.
Requirements
- 3-5 years of proven experience as an executive assistant or similar role, preferably in the tech industry for senior SG&A and Strategy executives
- Strong organization and time management skills, including the ability to support multiple executives effectively
- Clear and concise communication skills, both verbal and written, with the ability to maintain confidentiality
- General office experience with computers, Gmail, and Google sheets and slides.
- Highly motivated and results oriented entrepreneurial attitude
- Experience booking travel, both domestic and international
- Prior experience managing vendors discreetly and professionally
- Works collaboratively across all functions and levels of the organization
- Exceptional follow-up skills to ensure timely and thorough communication with leader
