The Role: As the Customer Success Coordinator at Bill Good Marketing, you are the front line of our Success Coaching department, ensuring our clients receive the exceptional service they’ve come to expect. You’ll be the air traffic controller of client services, routing inquiries to the right team, managing the Success Coaches' calendars, and leading our onboarding process smoothly and efficiently. Your role is all about making sure our clients are welcomed with open arms, their questions are answered, and their service is delivered on time and with a smile. From organizing and conducting onboarding calls to ensuring strategy sessions are scheduled and delivered, you're the glue that sticks everything together and the go-to person that keeps the service wheels turning! If you can’t or don’t use technology in your daily life, this is really not a job where you will find success and happiness.

Requirements

The Customer Success Coordinator should have the following qualifications:

  • Experience with Software Onboarding, Customer Success, Software Demos, Executive Assistant Work, etc. This is a hybrid role that combines several business functions into one "hat" that is the keystone of the area.
  • Strong Multitasking Skills: You’ll manage calendars, client calls, and onboarding processes efficiently, ensuring everything runs smoothly. You must be able to do this kind of stuff in your sleep.
  • Excellent Communication: You’ll be the first point of contact for clients and prospects after purchasing our services, providing friendly and professional support. You will be expected to learn and know the various services and products that make up our deliverables.
  • Highly Organized: You’ll keep Success Coaches’ calendars in order, ensuring meetings are scheduled correctly and tasks are completed on time. You will also master our onboarding procedures and work closely with sales to make sure that every single client that is in onboarding is being moved along efficiently and within the right timeframes.
  • Tech-Savvy: Familiarity with tools like Zoho Desk, CRM systems, and other service software is a must. You will live out of business applications like this.
  • Problem-Solver: You’ll track, report, and address any service issues, ensuring clients receive consistent, high-quality support.
  • Event Coordination: You’ll help with scheduling events, booking travel, and managing logistics to ensure smooth execution.
  • Client-Focused: You’ll create positive client experiences by adding thoughtful personal touches, like goodwill cards for special occasions.
  • Team Player: Our sales and marketing teams are the left hand, you're the right, and this business is a team sport.

Here are a few of the key tasks you'll be managing:

  • Managing inbound calls for Success Coaching and sales, acting as a gatekeeper and routing clients to the appropriate person.
  • Overseeing Success Coaches’ calendars, scheduling meetings, rescheduling as needed, and ensuring calendars are organized and accurate.
  • Facilitating client onboarding, including setting up tickets, portals, and sending welcome packs, while monitoring progress and addressing any delays.
  • Scheduling and organizing client service update appointments, strategy calls, and marketing plan meetings.
  • Assisting in planning and coordinating events and onsite visits, handling logistics such as booking accommodations and preparing materials.
  • Tracking and reporting Success Coach performance metrics, identifying and addressing any inconsistencies.
  • Supporting the overall efficiency and success of the service delivery area with various other tasks as needed.

  • CRM software: 3 years (Preferred)
  • Computer literacy: 3 years (Preferred)
  • Customer Success: 2 years (Preferred)
  • SaaS: 2 years (Preferred)
  • Executive Assistant Experience a plus
  • Management Experience a plus
