#Position Overview
As Transaction Coordinator, you will be an integral part of our transaction process, owning the complete documentation lifecycle from offer to close. This role demands masterful organization and communication skills as you'll manage all transaction documentation, coordinate between multiple parties, and ensure strict deadline compliance. You'll be responsible for maintaining clear communication channels between agents, clients, lenders, title companies, and internal team members while orchestrating seamless closings for both acquisitions and dispositions. The ideal candidate thrives on attention to detail and takes pride in creating efficient, well-documented processes that drive successful real estate transactions.
#Job Duties
Transaction Management
- Own the entire transaction process from offer to close, including document organization and deadline tracking
- Process and track offers from initial communication through internal systems
- Manage disposition and acquisition closings, including contract preparation, signature collection, and coordination with title companies
- Create, Update & Maintain correct property status through internal systems
- Coordinate and track critical elements including appraisals, surveys, inspections, and option periods
- Assist with documenting and processing change orders and repair amendments as needed
- Handle warranty transfers and documentation
- Conduct closing document review and approval
- Move and organize files in shared drive systems
- Oversee signature processes through both in person & docusign signature requests
Communication & Coordination
- Serve as primary point of contact between all transaction parties (agents, clients, lenders, title companies, inspectors, appraisers)
- Provide regular status updates to internal team and external parties as needed
- Respond to offers and general inquiries in a timely manner
Administrative Support
- Assist with various administrative tasks related to deals and ongoing transactions, including involvement with development & association documentation
- Complete client surveys for all closed deals
- Handle general document organization and file management
Requirements
- High school diploma or equivalent
- Proficiency in basic Excel formulas
- Strong organizational and time management skills
- Excellent attention to detail
- Superior written and verbal communication abilities
- Solution-oriented mindset
- Ability to work independently and meet deadlines
- High level of computer proficiency is required, with a typing proficiency of at least 50+ WPM
- Prior experience in administrative roles is required, additional experience dealing with contractual documents would be a plus
- Previous experience in real estate or related fields is a plus.

Compensation Details
- Salary: $40,000 annually
- Status: Non-exempt (overtime eligible)
- Schedule: Full-time with some afterhours availability as offers are received
