Waterloo Counseling Center is seeking an Operations Coordinator. This position will coordinate and oversee insurance utilization, grants and general account reconciliation processes. This is a hybrid position, with at least a once a week, full day, in office requirement.
This is a full-time position. This role has a hybrid work schedule - the incumbent must reside in the state of Texas and will be expected to attend meetings and regularly perform certain portions of essential duties on-site. Based on this need for regular presence on-site, the ideal candidate will reside in the surrounding Austin area.
Core Functions:
- Coordinate insurance billing process, including verification, entry, submission and appeals as well as EOBs and payments.
- Coordinate Ryan White grant referrals and reporting, acting as organization’s point of contact with Ryan White Program and City of Austin.
- Assists with grant and fundraising projects as needed.
- Facilitates client account reconciliation, including processing payments and financial policy updates.
- Coordinates therapist credentialing processes.
Key Performance Indicators
- Maintain low insurance Claims Denial/Unpaid Rate as tracked through electronic health records reports.
- Accurate and on time completion of grant reports as monitored by supervisor in grant systems and emails.
- Few to no errors account reconciliations, and when such are encountered, they are corrected independently.
- Claims processed within given timeframe and no later than 15 business days of date of service as tracked through electronic health records system and reported on at this position’s quarterly review.
- Maintain little to no write off amounts due to agency error (incorrect data entry) as tracked through electronic health records system and reported on at this position’s quarterly review.
- Credentialing documentation submitted within 5 business days of new hire start dates, and 30 days prior to expiration for renewals.

Compensation
Based on job duties and requirements, this position is placed in pay grade 40 with an hourly range of $20.80 to $22.79 per hour. Initial placement within this range will be based on hired candidate's qualifications and relevant experience.

Requirements
Education and/or Licensure – Bachelor’s Degree or equivalent work experience required. No licensure or certification required.
Experience – 2 to 4 years experience in Billing, Finances or healthcare administration required. Experience in healthcare insurance billing preferred but not required. Experience with LGBTQIA+ and/or other marginalized communities a strong plus. Microsoft Office Skills with an ability to become familiar with company or position specific programs or software.
Additional Requirements – Bi-lingual (English/Spanish) preferred but not required.
Knowledge Skills and Abilities
- Must have basic PC skills that include a combination of working in a Windows Operating System and Microsoft Outlook, Word, and Excel.
- Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards.
- Must have the ability to exercise a high degree of diplomacy and tact; excellent customer services and interpersonal communication skills; Cultural sensitivity and demonstrated ability to work with diverse people groups.
- Well-developed verbal and written communication skills in English; Additional language abilities desirable. Ability to work well under pressure with minimal supervision.
- Ability to effectively interact with persons of widely diverse roles, backgrounds, cultures, and socio-economic classes, those in crises or resistant or negative toward organizations.
- Ability to apply time management practices to prioritize, schedule and complete work effectively to comply with mandated policies and deadlines.

- Usually works forty (40) hours per week, some weekends may be required.
