The Indirect Purchases & Facilities Specialist is responsible for overseeing the procurement of all indirect goods and services and managing the maintenance, repair, and operations of company facilities. This role ensures that all purchases and facility operations are cost-effective, efficient, and align with the company’s strategic goals. This role will collaborate with various departments, and negotiate with suppliers to ensure optimal performance and value. This role has significant growth potential in purchasing and financial controlling.This position is in Arlington, Texas, and requires an onsite work schedule.
Requirements
Key Responsibilities:
Procurement Management:
- Develop and implement procurement strategies for indirect purchases, including office supplies, IT equipment, professional services, non-production-related items.
- Support on identifying and evaluating suppliers, negotiating contracts, and establishing relationships to ensure cost-effective procurement.
- Create New Suppliers, validate and create the New ones brought by other departments.
- Manage purchase orders, monitor supplier performance, and resolve any issues related to delivery or quality of goods and services.
- Stay updated on market trends, pricing, and best practices to support continuous improvement in procurement processes.
Facilities Management:
- Assist in the maintenance, repair, and improvement of all company facilities, including offices, warehouses, and other operational sites.
- Develop and manage facility budgets, monitor expenses, and ensure cost control.
- Help coordinate with external contractors and service providers for facility maintenance, renovations, and other related projects.
- Follow up on consumptions & security services (toiletries, snacks/vending/coffee, etc.)
- Address and resolve daily challenges and issues in the office.
Budgeting and Reporting:
- Assist in preparing and managing budgets for indirect purchases and facilities management.
- Track and report on key performance indicators (KPIs) and metrics to support decision-making.
- Provide regular procurement and facility activity updates, including cost savings, project status, and other relevant information.
- Understand financial processes and controls related to procurement and facilities management.
Administrative Support:
- Maintain accurate records and documentation related to procurement and facilities activities.
- Support the development and implementation of policies and procedures to improve efficiency and effectiveness.
- Assist in compliance with company policies, industry regulations, and legal requirements related to procurement and facilities management.
Qualifications:
Education:
- Bachelor’s degree in Business Administration, Supply Chain Management, Facilities Management, Finance, or a related field.
- Professional certifications (e.g., CPM, CPSM, CFM) are a plus.
Experience:
- Proven experience in procurement and facilities management.
- Proven experience in managing supplier relationships and negotiating contracts.
- Understanding of financial processes and controls.
Skills and Abilities:
- Strong analytical and problem-solving skills.
- Excellent negotiation and communication skills.
- Proficient in procurement and facilities management software, Netsuite is a plus.
- Ability to manage multiple projects and priorities in a fast-paced environment.
- Strong organizational and time management skills.
- Willingness to learn and develop new skills.
