Are you our new Human Resources Specialist?
We are looking for another member to join our HR team: a working environment consisting of skilled, positive, innovative, and enthusiastic employees. This position is responsible for supporting the administration of various HR-related activities conducted within DOF Subsea US operations, including all departments for both onshore and offshore personnel.
Requirements
Key Tasks:
Tasks can include, but not limited to:
- Support all employees and all Department Managers with HR issues, offering HR support, advice and guidance
- Familiarity with all laws and regulations within HR discipline for the US region
- Superuser for Human Resources Information System (HRIS) performing data management updates, register and maintenance of new and existing personnel within the system, registers activities
- Implement and coordinate local initiatives for NA Region - US office on Global HR Projects (Employee Surveys, Performance Appraisals, and Learning Initiatives)
- Continuous HRIS updates and ensuring HR Master data maintenance
- Assist with current US HR Team with coordination of the Learning & Development system maintenance and future development
- Interact with Payroll on updates to ADP payroll system and assist with answering questions for personnel regarding pay or related concerns or questions
- Administer I-9 Compliance
- Assist in maintaining and administering Employee Handbook, company organization charts, Head Count Report, and other process and procedural documents to facilitate compliant operation
- Maintains Affirmative Action Program records and data collection for filing EEO-1 and VETS4212 report annually; and maintains other records, reports and logs to conform to EEO regulations.
- Familiarity with immigration and visa processes, i.e., H1-B, L1, TN visas and coordinating with immigration attorneys for filings of visas
- Ensure proper processes, practices, and documents are completed on all employee actions including new hires, pay changes, terminations, etc.
- Responsible to maintain the personnel database updated at all times; hard copy personnel files; electronic personnel files in line with company policies and government regulations ensuring records are stored, secured and maintained in a confidential manner
- Participates in onboarding process and New Hire Orientation of all new employees
- Assists with benefit administration of various employee benefit programs such as group insurance, life, medical and dental, accident and disability insurance
- Assists with administration of leaves of absence such as Short- and Long-Term disability in compliance with FMLA and other federal/state laws
- Participates in annual benefits review with insurance brokers and facilitation of open enrollment for benefits
- Have working knowledge of administration of the Corporate and EPCCA Drug/Alcohol program with random testing
- Performs other duties and projects as assigned by HR Team Leader and/or Regional HR Manager
EDUCATION AND COMPETENCIES
Education/Experience:
- Post secondary education in Human Resources or related field (experience can compensate for lack of formal competency)
- Professional Certification (SHRM-CP and/or PHR) desired
- Minimum of 5 years of experience in a business environment with a strong focus in HR functions
- Comprehensive understanding of HRIS/ERP systems
- Working knowledge of US Labor laws and regulations
- Experience with ADP WFN (Workforce Now) desired; back-end system set up, audit and maintenance a plus
- Experience with system workflows and interfaces between different systems
- Experience in the oil and gas industry and including exposure to marine/vessel operations is a plus but not required
- Demonstrate the highest level of ethical behavior
- Maintain confidentiality of sensitive information
- Remain flexible in order to adapt to changes in work environment
- Ability to work as a team player with a spirit of initiative and achievement orientation

- Ability to work in a fast-paced work environment, multi-task and effectively prioritize work to meet deadlines
- Proficient in Microsoft Packages - Word/Excel/PowerPoint and Document Control Systems

- Must be authorized to work in the United States
