Position Summary: 

We are seeking a skilled and passionate Infusion/Wellness Spa Receptionist to join our team. The ideal candidate will play a crucial role inin providing exceptional customer service to our clients and ensuring the smooth operation of daily spa activities.

Essential Duties and Responsibilities (include, but not limited to the following):

Operations:

  • Execute spa appointment scheduling, using scheduling software, ensuring accuracy and efficiency in booking client appointments for all therapy sessions over the phone, in-person or on-line
  • Keep the reception area clean, organized, and well-stocked with informational/promotional materials
  • Support multi-disciplinary spa staff with administrative tasks such as filing, data entry, and inventory management as needed
  • Monitor and ensure patient record confidentiality
  • Provide support to franchisees/owners/management on operational matters, as needed
  • Collect payments for services rendered, process transactions accurately, and provide receipts to clients. Handle cash, credit card, and electronic payments with professionalism and integrity

Customer Service:

  • Greet clients warmly as they enter/exit the spa, assist with check-in procedures including determining why the member/guest came into the spa and intended health goals
  • Educate guests on the benefits of IV hydration and wellness therapies
  • Provide information about available services and treatments
  • Offer wellness plans and membership options to all new guests
  • Ensure a high standard of customer service by addressing client inquiries, concerns, and feedback promptly and professionally
  • Build client relationships, allowing for more personalized guest experiences
  • Address escalated client issues or complaints with empathy and diplomacy, seeking resolutions to maintain client satisfaction
  • Initiate follow-up calls to clients after IV therapy sessions to inquire about their experience, address or escalate any concerns, and gather feedback, ensuring clients feel supported post-treatment

Marketing and Sales:

  • Assist in executing marketing strategies to promote spa services, attract new clients, and retain existing clientele
  • Collaborate on creation of promotional materials, social media campaigns, and special events

Requirements

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Previous experience in a customer service or receptionist role, preferably in a spa or wellness center environment 
  • Excellent communication skills, both verbal and written, with a friendly and professional demeanor
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively
  • Interest and knowledge of wellness therapies, spa services, products, and industry trends
  • Knowledge of healthcare regulatory requirements (HIPAA confidentiality) preferred
  • Familiarity with franchise operations, particularly in the spa or wellness industry preferred
  • Experience with social media platforms, online engagement and content creation preferred
  • Exceptional communication skills, both verbal and written
  • Attention to detail, the ability to organize and prioritize, and a commitment to maintaining high-quality standards
  • Competence to thrive in a high-end, fast-paced, spa service environment and adapt to needs of the workplace
  • Ability to express compassion and understanding towards clients, creating a comfortable and positive experience
  • High comfort level with relationship building/sales
  • Proficiency in computer applications, including scheduling software, Microsoft Office Suite and Google (email, docs, etc.)

The employee is occasionally required to stand; walk; sit; reach with hands and arms; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus. The noise level in the work environment is moderate. The employee may be exposed to hazards such as radiation, bodily fluids that may contain disease, and fumes from laboratory chemicals.

Benefits

Hourly pay: $15-$25/hr, based on experience, plus Performance Incentive Plan
