Full Job Description
We are currently seeking a dedicated ENT/Allergy Medical Assistant to join our team at Providence ENT. This position offers an opportunity to become part of a dynamic support structure that aims to enhance the quality of patient care in the ENT and Allergy fields. As a key member of our healthcare team, you will be involved in various clinical and administrative tasks, contributing to the smooth operation of our practices. Your role will support physicians in delivering high-quality, cost-effective care to patients.
Requirements
Patient Care Duties:
- Places the patients in the examination room, ensuring they are as comfortable as possible. Acquires accurate patient histories and physical exam information. Obtains vital signs, secures the patient’s complaint, and enters pertinent information into the patient’s chart.
- Obtains relevant clinical information from outside parties to include hospital EMRs, other physician practices, or laboratory providers.
- Assists physicians or physician assistants with examination and treatment of patients and remains accessible to these providers during working hours.
- Administer allergy tests, including skin prick tests and intradermal tests, following established protocol and ensuring patient comfort and safety
- Assist in the development of allergy treatment plans, including immunotherapy, based on patient symptoms and test results
- Administer allergy treatments, such as subcutaneous or sublingual immunotherapy, and monitor patient responses
- Assists physicians and physician assistants during in-office procedures. Uses clean and sterile procedure guidelines to set up the surgical instrument tray and ensures the surgical field is not contaminated.
- Orders laboratory tests and imaging as requested by the physicians or physician assistants. Handles, identifies and labels specimens correctly, completes lab requisitions.
- Screens telephone calls for the physicians or physician assistants. Takes accurate clinical messages within the limits of the medical assistant’s knowledge and practice policies. May answer patient’s inquiries with respect to medical questions within the limits of the medical assistant’s knowledge and practice policies.
- Performs triage duties according to practice protocols and as scheduled by the medical assistant and practice manager(s)
- Assist with scheduling tests and treatments, which includes patient instructions and obtaining necessary precertification. Assists with scheduling surgeries which may include obtaining informed consents and providing basic pre-op and post-op instructions.
- Educates patients on treatment regimen as dictated by physicians; including thorough explanation of prescribed medication usage, procedures for scheduled testing, and a summary review of the overall therapeutic plan.
- Performs other related clinical duties as required.
Other Clinical Care Duties:
- Ensures that all equipment in the exam room is clean, restocked, and properly set up at the beginning of each shift and prior to each patient encounter.
- Ensures that workstation is clean and organized.
- Ensures disinfectant and medicinal solutions are adequate in each exam room.
- Completes appropriate form for requests for consultations from the hospital and assures the information is forwarded to the physician on call in a timely manner.
- Assists with completion of prior authorization for medications and imaging
- Reviews patients’ charts for the day’s visit. Assures that diagnostic testing has been completed and/or scheduled.
- Ensures that reports and imaging from previously ordered diagnostic testing have been received and are prepared to be immediately available for physician review.
- Takes calls from the pharmacist. Calls in prescriptions and prescription refills accurately to pharmacy as directed by the physicians and documents accurately in the medical record.
- Assists in properly maintaining all clinical equipment to include cleaning and sterilizing, if applicable. Evaluates all equipment for damage and reports damage to the medical assistant and practice manager(s).
Scheduling and Administrative Duties:
- Assures that patient appointments which are the result of triage by the medical assistant are placed on the schedule.
- Appropriately triages patients following physician preference/protocols for same day and/or work-in appointments.
- Documents telephone calls accurately in medical record.
- Maintains strict patient confidentiality.
- Performs other duties as required.
- Assists in training of new staff members
- Attends staff and office meetings.

Requirements
Position Requirements:
- High school education or G.E.D. equivalent. Completion of a two-year program for medical assistant preferred
- Current CPR Certifications
- Three years prior experience as a medical assistant, prior otolaryngology (ENT) or Allergy office experience strongly preferred
- Possesses the sense of discipline to work in accordance with accepted clinical standards
- Must have reliable transportation and able to travel between all three locations:
- Chester, Media & Glen Mills
- Must be able to work a minimum of 1 night shift a week at our Media/Glen Mills locations
- Comply with all regulatory requirements including OSHA, maintenance of clinical skills and certifications, etc.
- Be capable of dealing tactfully and effectively with patients, family members, other employees and physicians.
- Accurate computer scheduling skills.
Working Environment:

- Lifting Requirements: Assisted: 100+ lbs.
- Frequency of Lifting: 0-25% of the time
- Pushing Requirements: 200+ lbs.
Average percent of time during regular shift devoted to:
- Walking, Squatting, Sitting, Bending, Reaching: 25%
- Standing: 75%
Additional Physical Demands are:
- Ability to grasp with both hands; pinch with thumb or forefinger; turn with hand/arm; reach for (above shoulder height).
- Ability to simultaneously operate clinical equipment and read gauges.
- Ability to simultaneously speak on the telephone and write.
- Ability to hold delicate instruments in a steady and firm manner.
Visual, Hearing, Dexterity, and Mental Demands:
- Vision: Adequate to perform the essential functions of the job such as identifying appropriate instruments, reviewing and documentation, and reading instrument gauges.
- Hearing: Adequate to perform the essential functions of the job such as listening to verbal requests from patients and providers in person and by phone.
- Speaking: Adequate to perform the essential functions of the job such as providing patient education regarding treatment plans/regimens.
- Dexterity: Adequate to perform the essential functions of the job such as assisting with in-office procedures and handling delicate instruments.
- Mental Demands: Adequate to perform the essential functions of the job such as recording accurate patient histories and assisting with exams while coordinating other services.
Working Conditions:
- Position requires individual to be dressed in uniform 100% of time; 75% of time individual will be required to wear protective equipment including gloves, face mask, goggles and/or surgical gown.
- Position will require frequent exposure to blood and body fluids. Appropriate protective equipment will be provided.
- Exposure to hazardous materials will be frequent. These materials are primarily laboratory reagents and cleaning and disinfecting solutions.
