Full Job Description

Access Services is hiring an Administrative Assistant to support our Home and Community Supports program! 

Position Summary: Work closely with the leadership team to ensure timeliness and accuracy of all information, manage smooth flow of information, accurate data tracking, and effective administrative functions. Provide clerical and administrative support to program by typing, faxing, scanning, filing, scheduling appointments, and answering telephones as needed. Assist other regional office administrative assistant staff. Routinely utilize excellent Excel skills and develop proficiency with our electronic health record system and other essential technologies. . 

Essential Functions:

1. Work closely with the leadership team to ensure timeliness and accuracy of all information, manage smooth flow of information, accurate data tracking, and effective administrative functions. 

2. Type letters, memos and meeting minutes. 

3. Create and maintain spreadsheets to document and organize program initiatives. 

4. Manage and support all program billing. 

5. Assist the program with maintaining regulations established by the Office of Developmental Programs (ODP). 

6. Provide clerical and administrative support to program by typing, faxing, scanning, filing, scheduling appointments, and answering telephones and support the general office operations. 

7. Assist other regional office administrative assistant staff. 

8. Support supervisors with projects and departmental functions. 

9. Use EVOLV (the electronic healthcare record system) and databases as they apply to recordkeeping and preparation of documents regarding service delivery. 

Requirements

Candidate must meet all qualifying and ongoing job criteria including background checks, physical examination results, and clearances. 

Education: High school diploma or GED required. Associate degree preferred. 

Experience: Two (2) years of administrative/clerical experience required, or one (1) year of administrative/clerical experience with associate’s degree required. 

Knowledge, Skills, and Abilities:  

  • Excellent Excel skills. 
  • Ability to perform basic computer skills of typing and maintaining databases.  
  • Strong organizational skills, ability to meet deadlines and sound oral/written communication skills.  
  • Ability to be flexible and adaptable to changing needs and demands of the programs. 
  • Proficiency in, or ability to learn and use, workplace applications, platforms and technologies   
  • Ability to appropriately and successfully use the service desk ticketing system.  
  • Ability to navigate network drives and basic hardware use and troubleshooting. 

This position requires the ability to travel during the course of a normal workday to successfully carry out the expectations of this position including attending offsite meetings, providing services in the community, and providing service oversight and supervision if applicable. Therefore, employee will need to drive their personal vehicle and/or an agency-owned vehicle to meet these expectations. Employee is expected to drive in a safe manner at all times, meet eligibility criteria outlined in our Motor Vehicle Policy, be available and willing to drive during work schedule, and successfully pass the agency’s substance abuse screening at any time during employment.

Schedule and Compensation: 

This is a part-time role with the potential to grow into a full-time schedule if interested.  

This is a hybrid role, working both in our offices regularly, and remotely. The schedule is flexible upon start, and the 16-20 hours/week can be worked anytime between the hours of 8AM-6PM Monday-Friday.  

 

The hourly rate for the position starts at $18.25, with increases based on education and experience.
