Position Summary:

The Membership and Program Manager raises funds and works toward growing Oregon PSR’s membership through member stewardship, community outreach and other strategies. This individual is detail-oriented, brings a service mindset to their role, and loves talking with members about their passion for our mission. The Membership and Program Manager plays a central role in the day-to-day management of the donor database, gift processing, and donor relations. The individual in this position will ensure that donor management is organized, efficient, and evolving with future best practices.The Manager will also lead advocacy efforts, organize and facilitate meetings,and coordinate with other coalitions.

Supervision: The Membership and Program Manager will report to the Executive Director and work as part of a collaborative team with other staff and volunteers.

Location:  The position will be based out of our Portland office. It may entail travel in Oregon and SW Washington for rallies, hearings, meetings, and outreach events. 

Hours: Primarily weekdays with some weekend and evening work required. Flex hours available.

Requirements

Specific Responsibilities

Database Management & Gift Processing (30%):

  • Manage database including donation entries, updating donor records, etc.
  • Increase database accuracy through standardization of internal processes, de-duplication of entries, and consistency in data entry
  • Keep up to date with new service rollouts from database provider NationBuilder
  • Generate database reports for all deposits and financial accounting
  • Process donation mail and preparing incoming cash receipts log in compliance with internal financial controls
  • Process and track matching gifts, stock transfer info, IRA distributions, etc.
  • Track stock and order development supplies as needed - letterhead, envelopes, etc. 
  • Route informational requests
  • Support Executive Director and staff with donor outreach

Membership Stewardship & Growth (35%)

  • Participate in organization-wide Justice, Diversity, Equity, and Inclusion (JEDI) efforts and incorporate JEDI values into membership recruitment and stewardship
  • Work with staff and board to sustain and grow the organization’s base of health professional members, including recruiting new major donors, monthly donors, and legacy donors  
  • Engage current donors to deepen their relationship with the organization
  • Connect members with opportunities to volunteer with the organization
  • Organize fundraising and volunteer events that attract new members and strengthen current members’ involvement
  • Reach out to underrepresented health professional populations including those who identify as Black, Indigenous and people of color; students and early career; and rural/outside Portland metro area health professionals to diversify and strengthen our statewide membership
  • Represent Oregon PSR at events, including outreach activities, fundraisers, and presentations 
  • Support biannual appeals, including in-house editing, printing, and addressing, supporting volunteers
  • Format, print, and mail thank you letters to donors bi-monthly. 
  • Conduct regular phone-banking to renew recently lapsed members.
  • Re-engage lapsed donors through renewal mailings, e-renewals and e-appeals.
  • Convert one-time and annual donors to become monthly members.
  • Steward recurring monthly donors, including upgrade appeals
  • Work with staff to coordinate creation, distribution, and regular updates of all fundraising-oriented direct-mail and electronic materials.
  • Assist with additional development projects and other duties as assigned

Steward the Peace & Justice Program (35%)

  • Coordinate/facilitate the annual Hiroshima & Nagasaki memorial event in coalition. 
  • Coordinate and facilitate monthly P&J Action Team meetings with regular email correspondence and meetings with Steering Committee
  • Coordinate with the Communications Manager on donor solicitations by mail, email, and social media
  • Social media: Write, design and publish posts to FB, Instagram, Bluesky, and Linkedin on P&J related material
  • Website: Update P&J website page, write blog posts and banners 
  • Write P&J action alerts
  • Contribute to monthly e-newsletter
  • Collaborate with local PNW nonprofits, organizations, and coalitions on specific campaigns 
  • Field requests for sign-on letters with ED and generate/circulate our own
  • Keep current on issues regarding nuclear justice, nuclear weapons, nuclear disarmament, nuclear power and nuclear proliferation, conflict in the Middle East and social justice
  • Assist in editing, formatting, and coordinating official statements
  • Assist ED with funding requests and reports to funders 
  • Attend staff and board meetings providing program reports

Required Qualifications: 

The successful candidate must demonstrate the following skills, experience and competencies:

  •  A passion for the mission of Oregon PSR
  •  Self-motivated, has the ability to work independently and in concert with others
  • Familiarity with donor database software (experience with NationBuilder is a plus).
  • Proficient in paper and digital tools. Comfortable with Word, Excel, GSuite/Google Drive, email and video conferencing tools
  • Superior written communication and editorial skills 
  • Experienced in providing quality, coherent, and curated content across multiple platforms
  • Highly organized and pays attention to detail 
  • Maintains organized records for follow-up and verification
  • Has understanding of how racism and other forms of oppression in society impact relationships, systems and culture 
  • Has experience and skills for working effectively with colleagues across group identities
  • Experience with community outreach and event planning

Desired Qualifications:

and competencies:

  • Excellent customer service and skills to support inquiries about the organization
  • Comfort with and ability to welcome, train, and retain volunteers
  • History of engagement in strategic planning
  • Maintains a current drivers license
  • Can lift 20 pounds when moving office, tabling and other equipment.

Benefits

Compensation: Oregon PSR offers a competitive salary package commensurate with skills and experience plus excellent benefits. This is a full time, 40-hour a week, non-exempt position with generous benefits including one month paid vacation, health, dental, complementary and alternative medical care, and retirement match. Salary range: $50-58K depending on experience.
