Lifestyle and Events Coordinator | BeLoved Hospice

Job Summary

This position works under the direction of the Vice President of Business Development, is responsible for the development and coordination of activities that reflect the varied interests of hospice patients. The Lifestyle and Events Coordinator will develop small group activities to enrich the lives of hospice patients.  They will work with the marketing team to establish and implement a program that works with varying levels and abilities, ensuring that the needs and desires of patients are being met on a variety of levels regarding quality of life.

General:

  1. Demonstrates a thorough understanding of the agency’s mission, philosophy and scope of services.
  2. Demonstrates knowledge and respect of rights and responsibilities by observance of patient/participant: Privacy, confidentiality and safety, including reporting of patient/participant abuse or neglect.
  3. Foster and maintain an effective working relationship between co-workers, patients, families, caregivers, and other professional members of the community.
  4. Demonstrates reliability by: Making every attempt to report to work on time and providing proper notification for absence or tardiness.
  5. Demonstrates ability to problem-solve and make decisions by: Assessing situations and considering all possibilities to resolve the issues then correcting the problems presented in a reasonable amount of time.
  6. Seeks guidance and direction as needed, utilizing proper chain of command.
  7. Demonstrates professionalism at all times by respectful interpersonal relationships with employees, patients, families, caregivers, referral sources, contractors, and community members.
  8. Demonstrates effective time management skills by: Coordinating activities to achieve maximum productivity and efficiency, willingness to adjust or revise work schedules as requested, seeking prior authorization for staff overtime, and completing assigned projects within specified time frames.
  9. Participates in Performance Improvement activities.
  10. Works well independently and within the Interdisciplinary Team structure.
  11. Promotes a team approach through cooperation, mutual respect, flexibility and dependability.
  12. Ensures all regulatory standards for State, Federal and CHAP are met.
  13. Assumes responsibility for on-going personal development and continuing education.
  14. Completes monthly and annual trainings as assigned by the Governing Board, Director of Human Resources and/or Director of Nursing.
  15. Creates opportunities for new referrals and referral relationships when representing the company in the community.
  16. Supports the philosophy, objectives and mission of BeLoved Hospice.
  17. Stays current with all mandatory agency requirements.

Specific to the role:

  1. Working knowledge of programs like Canva and MS Office
  2. Maintains relationships with previous, current, and potential activity vendors and organizations.
  3. Assists the Bereavement Coordinator in implementing the annual Celebration of Life.
  4. Coordinates and creates programs for holidays and special events.
  5. Assists with creating publicity to coincide with each event in a timely manner.
  6. Manages the orienting and overseeing of any and all volunteers and works with the Hospice Volunteer Coordinator to recruit and train activity volunteers
  7. Arranging appropriate training with other departments as needed.
  8. Disseminate information for upcoming actions and events
  9. Keep detailed records of volunteers' information and assignments
  10. Ensure the purpose of the organization and its actions is clearly communicated
  11. Assists with greater community outreach and partners with other organizations, universities, assisted living communities, and referral sources to promote opportunities for volunteering and to develop referral relationships
  12. Interacts with patients' staff in an atmosphere of hospitality.
  13. Understands HIPPA regulations and maintains confidentiality.
  14. Promotes the Mission and Values of BeLoved Hospice in all areas of responsibility.
  15. Ability to independently flex schedule to ensure proper staffing of events. Will work on weekends and evenings if activities or events are scheduled on those days. 
  16. Performs data tracking and analysis as needed.
  17. Participates in organizational record keeping and documentation processes.
  18. Other duties as assigned or may be necessary to an organization having overlapping roles and responsibilities.

Non-Essential Job Functions:

  1. Performs other duties as required
  2. Attendance is a critical requirement in this role. While this position is not considered essential you will be expected to make your best effort to be here when our events are scheduled to happen. 
  3. This position does not have the ability to work exclusively from home.

HIPPA Information:

As the Lifestyle and Events Coordinator, you will be required to handle sensitive patient information, including health-related data, in compliance with the Health Insurance Portability and Accountability Act (HIPAA). This means ensuring the confidentiality, integrity, and availability of protected health information (PHI) at all times. Any unauthorized disclosure or breach of HIPAA regulations may result in legal consequences for the individual and the organization. It is imperative that you understand and adhere to HIPAA policies and procedures to safeguard employee privacy and maintain compliance.

Requirements

Education Required:

  • High School Diploma or equivalent (required)
  • Some college preferred.
  • Education and training/certification in senior services preferred. 
  • Food Handlers Permit required.
  • OLCC preferred (Oregon Liquor and Cannabis Commission)

Years/Months of Experience:

  • 3-5 years of event coordinating experience required.
  • 3-5 years on-the-job experience working with older adult population in a long-term care facility or CCRC preferred.
  • 2 or more years of volunteer outreach and programming preferred.
  • 2-3 years of customer service experience preferred.
  • Must be able to self-direct day-to-day.

  • Strong communication skills including ability to listen, read, write, and speak English well.
  • Professional in organization, appearance, demeanor and interaction with Members, family, and other staff.
  • Knowledge of Universal Precautions, infection control practices and hazard communications.
  • Strong ability to work individually but within a team, able to prep for and host activities and meetings with no supervision.
  • Promotes teamwork and BeLoved Hospice mission statements and goals.
  • Competent in daily use of a variety of technological tools, such as computer software, audio/video equipment, or other devices that may be used to provide and/or document services.
  • Ability to make quick, clear judgments while communicating with sensitivity to different communication styles and personalities.
  • Ability to provide outstanding customer service.
  • Ability to preplan and work within tight timelines, handling multiple situations and people simultaneously. 
  • Ability to accept responsibility for leadership, direction, planning, negotiating, organizing, formulating practices, or making decisions.
  • Ability to effectively motivate members in planned activities and events.
  • Ability to public speak at events, Forums and other presentations to member and staff audiences.
  • Ability to maintain relationships that facilitate task accomplishment; to cooperate and resolve conflicts; to recognize needs and be sensitive to others.
  • Ability to identify task requirements, monitor progress toward accomplishment and meet deadlines for completion of projects in a timely manner.
  • Ability to systematically identify and define problems, evaluate alternatives, and implements mindful and cost-effective solutions. 
  • Attends in-services and training to learn and improve self to comply with BeLoved Hospice’s philosophy to promote emotional, intellectual, physical, social, spiritual and vocational wellness of each and every patient.
