About the Position 

The Culture & Equity Coordinator sits on the HR & JEDI team and reports directly to the HR & JEDI Manager. This person provides general support to all employees and department managers and works closely with Fiscal, IT, and the JEDI Council.

The Culture & Equity Coordinator will assist with administrative tasks related to all aspects of the employee life cycle including recruitment and onboarding support, benefits enrollments, facilitating performance evaluations, and maintaining personnel files. This employee will have the opportunity to help foster a positive work environment through their contribution to cultural initiatives such as weekly all-staff meetings, in-person and virtual team bonding activities, and planning special events.  

This employee will be the acting Office Manager for the Worksystems office. In this capacity, the Culture & Equity Coordinator will ensure the office is fully stocked, help with room set-up and catering for in-person events, welcome guests to the Worksystems office, and conduct other standard office management tasks. This employee will also assist with streamlining our “virtual office” environment by creating and updating key documents and files in our company intranet. 

This is a newly created position at Worksystems and is a great opportunity for a skilled administrative professional with a deep commitment to customer service and workplace equity. 

Job Duties:  

Office Management  

  • Order and restock supplies as needed 
  • Serve as primary contact for property management and office equipment vendors 
  • Be present in the office for structured internal or external meetings to provide support around meeting set-up, food orders, etc. 
  • Distribute mail 
  • Maintain company-wide service subscriptions  

Employee Life Cycle 

  • Recruitment: post job ads, schedule interviews, be a main point of contact for candidates 
  • Onboarding: coordinate orientation schedules, conduct office tours  
  • Benefits: maintain benefits section of company intranet, assist with benefits enrollments 
  • Employee Development: provide administrative support and coordination for annual performance evaluations and goal setting 
  • Personnel File: maintain employee personnel files  

Culture 

  • Coordinate agendas for weekly all-staff agendas 
  • Assist with planning and facilitation of bi-annual in-person all-staff meetings  
  • Serve as Lead of the events planning committee: Plan and lead bi-annual virtual team bonding events; Coordinate events (in-person or virtual) for employee acknowledgements (baby showers, retirements, etc) 
  • Serve as Secretary of the JEDI (Justice, Equity, Diversity, Inclusion) committee: Set calendar invitations; Send out agendas; Take meeting minutes; Maintain internal JEDI documentation (rosters, resources, etc) 

What You Can Expect to Accomplish in the First 6 Months:  

  • Coordinate details for weekly all-staff meetings 
  • Begin to outline 2025 events and take over management of the company-wide “Office Admin” calendar 
  • Shadow and then take ownership of recruitment and onboarding logistics 
  • Update key intranet documents and HRIS portals with current personnel information and new policies and procedures 
  • Conduct a personnel file audit and convert paper files to electronic files 

Requirements

Minimum Qualifications:  

  • Experience providing administrative support as a receptionist, secretary, administrative assistant, coordinator, or other similar position 
  • Experience supporting event planning logistics for in-person events. Prior experience with virtual events a plus. 
  • People-first customer service skills that contribute to a positive, welcoming, and psychologically safe work environment. 
  • Alignment with values of organizational justice and equity.  
  • Proficiency with the following technology:  
  • Virtual conferencing software (Zoom and Microsoft Teams) 
  • Microsoft 365 (Word, Excel, PowerPoint, SharePoint) 
  • Desire to learn and grow in the field of People Operations, with a passion for reimagining the future of work.

Physical and Sensory Requirements 

  • Mostly sedentary work while utilizing standard office equipment including: a computer, keyboard, and telephone.  
  • Ability to occasionally lift boxes (10-15 lbs); move tables and chairs; general event set-up 
  • Work environment: Hybrid. The Culture & Equity Coordinator will be expected to work from our downtown Portland office at least two days per week. The remaining three days are flexible for remote work.

Note:  Worksystems employees must live in the state of Oregon or Washington for payroll processing purposes.  Although we operate in a hybrid work environment, proximity to the Portland Metro Area is needed for this role.  Employees may have to attend in-person meetings in the Portland Metro Area.  Sometimes with same-day notice.

  • Salary Expectations: $31.25 per hour - $33.65 per hour (full-time 40 hour per week, non-exempt role)
