Choice Property Resources is a well-established, business-to-business professional services firm in growth mode. The Operations Administrator will be responsible for overseeing and coordinating various operational activities and providing administrative and organizational support to the operations team. This position will work directly with vendors and clients to process contract opportunities for multi-family properties and will handle high volumes of data and tasks.
You are a dynamic candidate who is a highly motivated, self-starter with strong communication skills. You can prioritize and manage multiple projects efficiently in a fast-paced environment without close supervision. You intuitively understand and use technology, including cloud-based software and Excel. You have solid work experience yet would describe yourself as trainable and coachable.
This person will work from a home office in the Columbus, Ohio metro area and can travel up to 5% of the time for staff and client/vendor meetings.
Note: This is a fully - remote role and is open to individuals who reside in the Central Ohio area only. To work from home, you do need a dedicated workspace that is free from distractions and background noise.
Requirements
What You Will Do
- Provide support to operations on various projects as needed
- Prepare, route and process contracts, cover letters and supporting documentation to clients and vendors with accuracy to ensure compliance and prevent delays
- Track all vendor agreements in signature process and follow-up with clients, vendors and internal staff to assure timely processing of documents
- Update and track details of contracts and documents in Salesforce with an extremely high level of accuracy
- Source and prepare supporting documentation such as W9s, property legal descriptions, property master street address lists, vendor profile forms, electronic payment forms
- Prepare and maintain correspondence from templates including cover letters, letters of termination and modification, HUD letters
- Create new records and update existing records in Salesforce
- Assist with identifying issues causing delinquent payments and follow-up with vendors and clients
- Research and identify telecom vendors servicing client properties
- Assist in preparation of client and vendor business reviews
- Create vendor contract opportunities and vetting emails to vendors in Salesforce
- Review pre-existing contracts and create vendor contracts opportunities in Salesforce
- Assist with property training efforts to insure property managers understand telecom marketing obligations
What You Need to Have
- Highly motivated, self-starter, a skillful communicator, and comfortable working without close supervision
- Strong figure it out factor
- Detail oriented
- Solid organizational and task management skills
- Ability to learn and use Salesforce (Choice will provide training)
- Effectively work and prioritize among multiple projects
- Proficiency with Microsoft Excel
- Intermediate / Advanced Excel skills a plus
- Experience with multifamily, real estate development, telecom, construction, property management, marketing programs, training or professional services a plus, but not required
